Job description

This is a hybrid role, candidates must be within a commutable distance to Nashville, TN

The Implementation Specialist I manages a portfolio of assigned Card@Once implementation projects, executing established implementation processes to onboard financial institutions efficiently and accurately. This role is responsible for day-to-day project coordination, client communication, and system setup activities, while following defined procedures and timelines.

This position focuses on consistent execution, project tracking, and client support within a structured implementation framework, with guidance available for non-standard or complex scenarios.


  • Manage a book of assigned implementation projects from intake through production launch using established processes and templates
  • Serve as the primary point of contact for clients during implementation for standard scope projects
  • Lead kickoff calls, ongoing status calls, and follow-up communications
  • Execute required system setup and coordination activities across the Card@Once Portal, Program Management, NetSuite, and related tools
  • Coordinate internal teams to complete implementation milestones and deliverables
  • Track project timelines, dependencies, and required approvals; escalate risks or delays as needed
  • Maintain accurate project documentation and status updates in HubSpot
  • Support testing coordination and production readiness using defined checklists
  • Perform routine account-management tasks such as user access updates, location maintenance, and standard configuration requests

Requirements:

  • Strong organizational skills and ability to manage multiple concurrent projects
  • Attention to detail and ability to follow established procedures consistently
  • Clear and professional written and verbal communication skills
  • Ability to identify issues and escalate appropriately
  • Proficiency in Microsoft Excel and Word
  • Bachelor’s degree in Business, Finance, Information Systems, or related field, or equivalent experience
  • 1–3 years of experience in project coordination, implementations, operations, or client-facing roles
  • Elementary English proficiency communication skills necessary
  • Experience in financial services, payments, banking, or regulated technology environments preferred
  • Familiarity with HubSpot or NetSuite preferred 

Physical Demands:

  • This is a Hybrid position; ability to work from home and be onsite in the office; work a minimum of 40 hours per week;
  • Hours are minimum 40 hours per week during company’s regular business hours however evening and/or weekend work may be required as job duties demand;
  • Work is in a typical office environment; prolonged sitting required (1-2 hours at a time); ability to move around the office to attend meetings; deliver items; gather supplies; set up meetings; etc. lifting up to 20 lbs occasionally.
  • Work environment:  Usual office setting; close contact with employees for long periods of time.  The noise level in the work environment is usually minimal.
  • Position may require minimal travel by car and/or plane.

This role requires the ability to work from home in a virtual environment, where the following is required;

  • reliable high-speed internet access (hotspot not acceptable)
  • dedicated distraction-free home work environment
