Firm Description

Role and Responsibilities
Responsibilities will include:
  • Primary responsibility for this position is answering, screening, and directing high-volume inbound phone calls and routing them to the appropriate attorney or paralegals; taking messages, updating the office calendar, and scheduling meetings as needed.  
  • Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts them to the appropriate location in the office. 
  • Receives, processes and distributes high volume of mail, documents, packages daily
  • Performs administrative and clerical support tasks, like supplies ordering, scanning, photocopying, filing, typing, and recordkeeping. 
  • Keep updated records of office-related expenses.
  • Maintains conference rooms, break areas, kitchens, and reception area. 
  • Additional duties as assigned.

Desired Skills and Qualifications
The successful candidate should have the following qualifications:
  • Proficient in English (oral and written) 
  • Effective communication and people skills 
  • Basic understanding of administrative and clerical procedures and systems 
  • Strong ability with attention to detail 
  • Good organizational and multi-tasking abilities 
  • Problem-solving skills 
  • Customer service orientation 
Education and Experience
  • Experience with high volume of inbound calls in a law-firm or a professional setting
  • Experience with receiving, processing and distributing a high volume of mail, documents and packages
  • Minimum of two (2) years of experience in a Receptionist, Front Office Representative, or similar position required.
  • Familiarity with multi-line phone systems and other office machines (e.g., fax, printer, etc.).
  • Experience with Microsoft Office applications, specifically Outlook, Word, Excel, and PowerPoint.
  • Familiarity with Salesforce is beneficial, but not required
  • Prior law office experience a plus but not required.
  • High School diploma or equivalent required; additional qualifications beneficial.
