Job description

VDA is a leading Experiential Event Design Agency specializing in 3D marketing and design for virtual and physical solutions that bring brands to life. We work across Corporate Meetings, Tradeshows, Themed Events, Exhibits, Retail Environments, and Corporate Facilities. Our team thrives on delivering high-impact experiences that engage audiences and elevate brands.
About the role
  • This role will oversee corporate events from concept to completion, working cross-functionally with sales, design, and production teams to ensure seamless execution. From tradeshow booths and stage sets to themed events and permanent installations, the Project Manager will bring creativity, organization, and leadership to every experience we produce.

What you'll do
  • Lead the pre-production planning process, including project timelines, schedules, and coordination across departments.
  • Collaborate with the design team to help translate creative vision into executable plans.
  • Support the sales team with site visits, vendor pricing, and preliminary production input.
  • Source, vet, and manage sub-vendors and partners throughout the production process.
  • Oversee on-site installation and dismantle of events, stage sets, and tradeshow booths.
  • Serve as the main point of contact for the client throughout the event lifecycle.
  • Manage project budgets, track labor and equipment costs, and ensure profitability.
  • Supervise on-site labor teams, including both union and non-union crews.
  • Ensure the safe, timely, and efficient delivery of all project elements.

Qualifications
  • 5+ years of experience in corporate event production or project management.
  • Strong knowledge of live and virtual event planning and execution.
  • Familiarity with trade show booth and theatrical set construction (carpentry experience a plus).
  • Basic knowledge of theatrical lighting, audio, and video systems.
  • Proficiency in VectorWorks CAD (basic drafting required).
  • Must be willing to travel and capable of lifting up to 50 lbs.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Word and Excel.
