We are seeking a highly organized and versatile Office Administrator to manage our daily business operations. This role handles essential financial tasks, manages equipment inventory, and supports our field crew. You will bridge the gap between office operations and our field personnel, requiring strong communication skills and an approachable attitude.
Key Responsibilities
Accounting & Financial Support
- Manage Accounts Receivable: Generate customer invoices
- Reconcile Accounts: Perform daily data entry
Inventory & Assets Management
- Track Equipment: Maintain an accurate, real-time inventory of traffic control signs, cones, arrow boards, and PPE.
- Oversee Purchasing: Request office supplies and field equipment based on project needs and stock levels.
- Audit Assets: Conduct periodic physical inventory counts to reconcile digital records with actual stock.
General Administration & Team Collaboration
- Support Field Crew: Serve as the main point of contact for field employees regarding paperwork, gear distribution, and scheduling updates.
- Maintain Records: Organize and archive project files, DOT permits, and employee safety certifications.
- Answer Inquiries: Handle incoming phone calls, emails, and walk-in inquiries from clients and vendors.
Requirements & Qualifications
Technical & Financial Skills
- QuickBooks Proficiency: Minimum of 2 years of hands-on experience using QuickBooks (Desktop or Online) for billing and expense tracking.
- Accounting Knowledge: Solid understanding of basic bookkeeping principles, general ledgers, and financial data entry.
- Software Skills: Advanced proficiency in Microsoft Office, particularly Excel, and adaptability to industry-specific dispatching software.
Interpersonal & Cultural Fit
- Crew Relations: Proven ability to communicate effectively and build strong, respectful working relationships with field workers and field crew personnel.
- Communication Style: Clear, direct, and down-to-earth communication approach.
- Adaptability: Ability to thrive in a fast-paced, high-energy environment with shifting daily priorities.
Experience & Education
- Work History: 2+ years of administrative or bookkeeping experience, preferably within construction, traffic control, logistics, or a similar industrial field.
- Education: High school diploma or GED required; an Associate’s degree in Business Administration or Accounting is a plus.
