Job Description Summary:
The Lighthouse of Houston is seeking a blind or low vision employee to work on their federal government service contract.
The ARNG Scanning Lead position was developed specifically for the Army National Guard and involves highly complex work of indexing and transferring information from scanned images into electronic and digital formats in the client provided computer system. This position also assists the Business Services Manager in leading and guiding the work activities of the team and ensures compliance with the IRS rules and regulations and federal government requirements.
The ARNG Scanning Lead must set a good example and constantly demonstrate the Light (LIGHT) Principles of Leadership, Integrity, Growth, Humility and Trust. It is important for individuals to be committed to a continuous learning environment and a champion for change, with a teamwork mentality,
Mission:
To enable and empower people who are blind or low vision to realize their full potential.
Roles and Responsibilities:
  • Follows all safety protocols and guidelines for promoting a safe work environment and apply good day to day housekeeping of work area.
  • Ensures that productivity metrics are met established by the client and quality of work meets the required standards.
  • Ensures that all scanning and indexing of documents is entered accurately and meets the expectations of the internal and external client.
  • Scan client's documents into system for formatting into digital and electronic files.
  • Indexes the image appropriately by selecting the correct patient encounter or document type.
  • Provide indexing information of scanned documents from paper files related to health, dental, vision and other information into electronic/digital formats using computer issued by the client (ARNG).
  • Assist with delegating team member work assignments, daily activities, and schedules.
  • Acts as the spokesperson for the team and follows up on inquiries and concerns of clients.
  • Informs Business Services Manager of any issues that need addressing for resolution to ensure client satisfaction is met.
  • Identifies workflow improvements to enhance the team's efficiency.
  • Responds to and resolves escalated issues and/or unique or complex questions from clients.
  • Conducts training as needed for new employees and updates the manager for additional training needs.
  • Ensures that information is safeguarded and secured at all times and meets all HIPPA regulations and confidentiality requirements.
  • Recognizes and assesses issues associated to the task following work instructions as outlined by the line of business and escalates when necessary.
  • Records and input information into internal database systems.
  • Deliver high-quality client service through deep commitment to knowledge and performance with minimal or no errors.
  • Follows all confidentiality rules to preserve data quality and reduce chance for information or compromise.
  • Contributes to team effort by accomplishing related results as needed.
  • Performs other related job duties as needed.

Education, Licensure and Experience:
  • High school diploma or GED
  • Prior leadership experience is preferred or on-the job training,
  • Prior mailroom experience preferred or administrative/clerical experience.
  • Must be able to pass security clearance for the IRS.
  • Must be able to complete government and background checks and screening as required to work on the federal contract.

Knowledge Skills and Abilities
  • Strong level of confidentiality due to sensitivity of materials and information needed.
  • Good leadership and client relation skills.
  • Good computer skills and able to adapt to different software such as Microsoft Outlook email client and Microsoft Word text processor.
  • Ability to research and look up client information using software and programs provided by the organization.
  • Good communication skills and ability to communicate with other team members as needed to ensure the accuracy of mail processing.
  • Good professional skills and able to deal with people from a variety of backgrounds with varying levels of understanding.
  • Ability to work independently or in a team setting.
  • High multi-tasking and organizational skills, time-management, and attention to detail.
  • Ability to work under pressure, meet deadlines, adapt to fast-paced work conditions and changes and expectations of the clients.
  • Ability to use Microsoft Office Programs for communication and work activity assignments.
  • Ability to use computer, printer, scanner, telephone, and use of assistive technology such as Zoom Text, Jaws, or other Blind/Low Vision assistive technology aids.

Supervisory Responsibilities
This position has no supervisory responsibilities but does assist the Business Service Manager with helping to coordinate the workflow of the team, timekeeping review and keeps the manager is apprised of any actions that require managerial attention.
Physical Demands and Working Conditions
The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities.
  • This position requires constant movement and physical demands with the ability to walk, bend and pick up mail batches for sorting and distribution. This position may also require some lifting of boxes of 10 to 40 pounds. Lifting assistance can be provided for boxes greater than 50 pounds.
