Job description

Description:

Be the right hand to senior leadership — high-impact, in-office, fast-paced.

Women’s Imaging Specialists is seeking a highly qualified Executive Administrative Assistant to support our C-Suite in our Alpharetta corporate office. This is a resume-defining role for someone who thrives supporting senior leaders, anticipates needs before they’re spoken, and keeps a fast-moving executive team organized, on time, and ahead of the curve.

This is not an entry-level admin role. We need a strategic partner — someone proactive, polished, tech-savvy, and unflappable.

Why you’ll love it here:

· Our passion runs PINK - Directly support the leadership team driving early detection across 22 centers

· High-visibility role - Work side-by-side with senior leadership on strategic initiatives, board materials, and company-wide projects

· Great hours + culture - Monday-Friday, in-office in beautiful Alpharetta. Professional, collaborative, mission-driven environment

· Benefits start day 61: Health, dental, vision, PTO | 401k match up to 4% after 6 months

· Growth + stability - Join a 150+ employee organization that promotes from within

What you'll do:

· Own the executive calendar - Manage complex, ever-changing calendars for senior leadership. Schedule internal/external meetings across time zones, protect focus time, and resolve conflicts before they happen

· Anticipate + execute - Prepare briefing materials, agendas, and follow-ups. Draft emails, presentations, and correspondence. Take meticulous notes and drive action items to completion

· Be the gatekeeper - Screen calls, emails, and requests with professionalism and discretion. Prioritize what needs the executive’s attention vs. what you can handle

· Coordinate high-stakes meetings - Plan leadership meetings, board meetings, and company events: agendas, decks, catering, logistics, minutes, and follow-through

· Manage projects + priorities - Juggle multiple initiatives with limited supervision. Track deadlines, create systems, and keep everything moving with excellent follow-through

· Handle confidential info - Maintain absolute discretion with sensitive business, financial, HR, and personnel matters

What you bring:

· Required: 5+ years supporting C-Suite/SVP/VP level in fast-paced, multi-location organization of 100+ employees

· Required: Highly organized, proactive, detail-obsessed, and technologically proficient. You live in Outlook calendar, Teams, Excel, and PowerPoint

· Required: Strong sense of urgency, excellent follow-through, and ability to anticipate needs. You don’t wait to be told

· Required: Exceptional written/verbal communication. Able to draft executive-level correspondence

· Required: Comfortable managing multiple priorities with limited supervision. Thrives under pressure

· Required: High school diploma required, Bachelor’s preferred. Advanced MS Office/Google Workspace required

· Preferred: Experience in healthcare, private equity-backed, or growth-stage company

· Required: Professional presence, absolute discretion, and pass background/drug screen

Type: Full-time, in-office | Monday-Friday, 8:00 AM-4:30 PM

Location: Cumming, GA / Alpharetta, GA - On-site 5 days/week

Pay: $50,000-$52,000 based on experience
