Job description

The Material Handling Coordinator will support the material handling operations, including ground rigging, warehouse coordination, and forklift order management. This position ensures operational efficiency, data accuracy, and compliance through effective coordination with internal teams, customers, vendors, and leadership.

Key Contributions of the Role
  • Conduct on-site and virtual audits of material handling operations during events to ensure compliance, accuracy, and operational efficiency.
  • Manage and monitor material handling inboxes and ensure timely responses, proper routing, and follow-through on all requests.
  • Process and complete Warehouse Live items to support accurate data transfer and system updates.
  • Generate and manage forklift order tickets and ensure completeness, accuracy, and proper documentation.
  • Identify and escalate non-standard or specialty material handling requirements to leadership for review and approval. This includes equipment, labor, or unique constraints.
  • Distribute forklift tickets to internal teams to support tracking, execution, and post-event reconciliation.
  • Collect, analyze, and organize ground rigging data, and develop detailed spreadsheets and production plans to support execution.
  • Serve as a liaison between customers, vendors, and associates to ensure alignment and seamless information flow.
  • Coordinate and communicate ground rigging schedules, labor, and equipment needs with internal departments.
  • Participate in planning and budget meetings to provide operational insights and recommendations related to rigging and material handling resources.
  • Prepare, maintain, and distribute documentation related to scheduling, operations, and billing processes.
  • Manage customer communication and on-site coordination for ground rigging services, ensuring a high level of service delivery.

Requirements

  • Minimum of 5 years of administrative experience in a high-volume, fast-paced business environment; supervisory experience preferred.
  • Prior experience in material handling, logistics, warehouse operations, or event management strongly preferred.
  • Working knowledge of ground rigging, transportation logistics, or warehouse operations.
  • Familiarity with company-approved AI-enabled tools and platforms (e.g., Copilot, Claude) is preferred.
  • Familiarity with Salesforce or similar Customer Relationship Management (CRM) systems is preferred.
  • Willing and able to work evenings, weekends, and holidays as required to support business operations and event schedules.
  • Strong analytical and problem-solving capabilities.
  • Proven ability to manage multiple priorities, deadlines, and deliverables simultaneously.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • High School Diploma or equivalent required.
