Position Summary

As the Project Manager at CyLife Church, you will lead, coordinate, and execute cross-functional projects that support our mission of making and sending disciples who love and live like Jesus. From ministry launches to large-scale events, from systems upgrades to strategic initiatives you'll bring clarity, alignment, and momentum. Your leadership will help translate vision into action while equipping teams to collaborate effectively and steward resources wisely.

You'll work closely with Senior Director of Operations to build and manage systems that empower people and maximize ministry impact. This role is central to helping CyLife function with excellence and intentionality in every season.

Reporting Structure

The Project Manager will report directly to the Senior Director of Operations.

Essential Duties & Responsibilities

Project Management

• Facilitate planning, execution, and evaluation of cross-departmental projects (e.g., new ministry launches, facility upgrades, system overhauls).
• Build project scopes, timelines, budgets, and ownership assignments.
• Track milestones, run alignment meetings, and ensure accountability to deadlines.
• Work in closely withCreative and Communications Directors to help organize and manage timelines, projects, and overall effectiveness of collaboration.
• Anticipate obstacles and proactively remove roadblocks to keep teams moving forward.

Strategic Initiatives

• Partner with the Leadership Team to implement high-level priorities (e.g., rollouts, pipelines, expansion readiness).
• Break down complex vision into actionable and measurable plans.
• Monitor implementation, capture feedback, and recommend strategic improvements.

Church-Wide Event Support

• Serve as logistics lead and operations liaison for major church events:

• Christmas Eve Services
• Good Friday & Easter Week
• Church-Wide Leadership Trainings
• Groups or Serve Weekends

• Collaborate with Worship, Communications, Tech, Connections, Kids, Discipleship, and Facilities to ensure seamless execution.
• Drive planning timelines, volunteer coordination systems, and contingency plans.
• Support post-event debriefs and reporting to refine future execution.

Communications & Coordination

• Ensure executive-level initiatives are translated into actionable steps for departments.
• Centralize communication for shared projects and cross-team collaboration.
• Host regular alignment meetings, track follow-ups, and document outcomes.
• Build repeatable systems and workflows that scale with ministry growth.

Evaluation & Reporting

• Develop and manage scorecards and evaluation tools for major events and initiatives.
• Provide progress reports to the Executive Team and key stakeholders.
• Capture wins, gaps, and process learnings to drive continuous improvement.

Data & Insights

• Support the development and management of scorecards and KPIs to track progress and impact.
• Collaborate with the Executive Team to identify measurable goals for key initiatives and assess outcomes.
• Sift through data to identify trends, gaps, and growth opportunities that inform decision-making and planning.
• Create dashboards, reports, and summaries that translate data into actionable insights for ministry leaders.
• Ensure systems are in place to consistently capture relevant data across departments and events.

• Ability to build scalable systems.

Qualifications

Required:

• 3+ years of experience in project or operations leadership (preferably in a church or nonprofit setting).
• Strong organizational skills with the ability to manage both the details and the big picture.
• Proficiency in project management tools like Asana and Planning Center.
• Exceptional communicator-both written and verbal-with a collaborative, team-first approach.
• Calm and capable under pressure, especially in high-demand seasons like Christmas and Easter.
• Deeply aligned with CyLife's mission, values, and disciple-making vision.

Preferred:

• Experience in a large church environment.
• Experience with Planning Center and ministry systems.
• Experience leading volunteer teams.
• Experience building assimilation and disciple-making pathways.
