Job Classification R3-B, Exempt Department Name Educational Operations Supervisor Director of Faculty Development Work Arrangement Hybrid Eligible California University of Science and Medicine (CUSM) is seeking an organized, proactive, and relationship-focused Faculty Program and Continuing Medical Education Specialist (Specialist) to support continuing medical education (CME), faculty development, and faculty engagement initiatives that strengthen faculty excellence across the university. Reporting to the Director of Faculty Development, this role coordinates CME activities from planning through accreditation approval and program evaluation, while supporting faculty development initiatives, university events, and partnerships with affiliated clinical training sites. This role also analyzes program outcomes to support continuous quality improvement and collaborates with faculty and institutional partners to ensure programs are delivered efficiently and in compliance with accreditation standards. This role does not develop educational content; rather, it serves as the operational coordinator, guiding programs from concept through implementation, evaluation, and continuous improvement. The ideal candidate is an initiative-driven professional who enjoys building processes, project coordination, strengthening partnerships, and identifying opportunities to improve programs and operations. This individual demonstrates sound judgment, professionalism, and diplomacy when navigating complex situations, communicates effectively with diverse stakeholders, and is equally comfortable working independently or as part of a collaborative team. Experience with continuing medical education is welcomed but not required. This position is available immediately and will remain open until filled. Applicants must be able to work on campus four days a week. Position Purpose Under the general direction of the Director of Faculty Development, the Faculty Program and Continuing Medical Education Specialist (Specialist) supports the development, implementation, evaluation, and continuous improvement of continuing medical education (CME), faculty development, and faculty engagement initiatives across the university. This position plays a key role in program operations, accreditation support, educational activity management, data analysis, process improvement, and stakeholder collaboration. The Analyst collaborates with faculty, institutional leaders, clinicians, affiliated clinical training sites, and external partners to support high-quality faculty development and continuing medical education programs aligned with institutional priorities and accreditation standards. This position combines operational coordination, analytical evaluation, project management, and strategic program support to advance faculty success, educational excellence, and organizational effectiveness.Essential Functions50% Continuing Medical Education (CME) Program Administration Coordinate the development, implementation, administration, and evaluation of continuing medical education (CME) activities, including live, enduring, and jointly provided educational programs. Coordinate day-to-day CME program operations to ensure activities are delivered effectively, efficiently, and in compliance with Accreditation Council for Continuing Medical Education (ACCME) standards and institutional requirements. Coordinate the evaluation of CME educational activities through the collection, analysis, and interpretation of learner participation, outcomes, and feedback to support continuous quality improvement. Develop and maintain dashboards, reports, tracking systems, and documentation processes related to program participation, educational outcomes, quality indicators, and accreditation compliance. Analyze program data and performance metrics to identify trends, assess effectiveness, and provide recommendations that support strategic planning and program improvement. Develop and implement operational processes, workflows, templates, and standard operating procedures (SOPs) that improve efficiency, consistency, and scalability of faculty development and CME programs. Identify opportunities to improve systems, workflows, automation, and operational practices that enhance program quality, compliance, and participant experience. Assist in interpreting accreditation standards, regulatory requirements, and institutional policies; recommend process improvements and documentation enhancements to support compliance and audit readiness. Coordinate the planning, implementation, and close-out of CME educational activities and events, including logistics, scheduling, communications, evaluations, and documentation. Monitor assigned project timelines, deliverables, budgets, and financial processes to support successful program execution. Collaborate with institutional technology partners to support CME platforms, registration systems, learning management systems, content management tools, and reporting capabilities. Partner with the Office of Strategic Communications to support marketing, promotional materials, and participant communications for faculty development and CME activities. Maintain current knowledge of faculty development and CME best practices, accreditation standards, emerging trends, and regulatory requirements, integrating updates into program operations and processes. 25% Faculty Engagement and University Event Coordination Partner with other campus entities (Faculty Affairs, Strategic Marketing) to coordinate faculty participation in major university events, including White Coat Ceremony, Match Day, Commencement, Faculty Awards, Convocation, and other institutional events requiring significant faculty involvement. In collaboration with FA and Strategic Marketing, develop and manage event timelines, faculty communications, logistical plans, and operational processes that support successful faculty participation. Serve as a point of contact for faculty-related event coordination before, during, and after designated university events. Support the coordination of faculty-facing logistics, including regalia acquisition, distribution, tracking, seating assignments, event materials, and related processes. Ensure faculty receive timely and accurate communications regarding event schedules, expectations, logistics, and participation requirements. Collect feedback from faculty and stakeholders and recommend process improvements that enhance faculty engagement and overall event experience. Collaborate with Faculty Affairs, Strategic Communications, Educational Operations, and other university departments to ensure coordinated planning and successful event execution. Facilitate communication among university stakeholders to support consistent, high-quality faculty representation at institutional events. 20% Clinical Site Faculty Development Collaborate with affiliated clinical training sites to identify faculty development needs and opportunities that support institutional educational priorities. Maintain ongoing communication with clinical site faculty, administrators, and institutional partners regarding faculty development programs, educational resources, and engagement opportunities. Coordinate logistics and operational support for faculty development programs delivered at affiliated clinical sites, including scheduling, communications, educational materials, and participant support. Track participation, program outcomes, and participant feedback to support evaluation and continuous improvement of faculty development initiatives. Partner with the Associate Dean of Clerkship Curriculum, the Office of Medical Education, clinical departments, and other university stakeholders to align faculty development activities with institutional and educational goals. Participate in visits to affiliated clinical sites, as appropriate, to support faculty engagement, relationship development, program implementation, and needs assessment. Build and maintain collaborative relationships with faculty, clinicians, healthcare organizations, and institutional partners to support high-quality faculty development and continuing education programming. Guide faculty and stakeholders regarding program processes, documentation requirements, timelines, and applicable accreditation or institutional policies. Participate in institutional committees, work groups, and collaborative initiatives related to faculty development, continuing education, accreditation, and educational quality improvement. Exercise sound judgment in identifying operational or compliance concerns and appropriately elevate complex issues to departmental leadership. 5% Other Duties as Assigned Required Educational Qualifications Bachelor's degree in Business Administration, Education, Healthcare Administration, Public Administration, Organizational Development, or a related field and a minimum of two (2) years of progressively responsible experience in program administration, project management, faculty development, continuing education, medical education, or higher education administration; or an equivalent combination of education, training, and experience that demonstrates the knowledge, skills, and abilities necessary to perform the essential functions of the position may be considered.
