We are seeking a highly organized and detail-oriented Sample Library Coordinator to support our merchandising and sales operations. This role is critical to maintaining our sample library, showroom presentation, and trade show readiness, ensuring our product is always presented in best-in-class, go-to-market condition.

Position Summary

The Sample Library Coordinator is responsible for the end-to-end management of the sample library, seasonal wall setup, and both domestic and international sample receiving. This role supports merchandising, sales, and trade show execution by ensuring samples are organized, labeled, and maintained in client-ready condition. The coordinator also assists with trade show preparation, approved liquidation, and quality inspection of assets.

This position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced product environment.

Key Responsibilities

Sample Library Organization & Maintenance

  • Organize and maintain the sample library by brand, vendor, and category for maximum retrieval efficiency
  • Ensure all samples are properly labeled and maintained in go-to-market condition
  • Reconfigure shelving and rack space to accommodate seasonal product flow
  • Execute approved liquidation and maintain proper documentation
  • Maintain a clean, safe, and organized sample environment daily
  • Support merchandising and sales teams with sample retrieval and organization

Seasonal Wall Setup & Maintenance

  • Build and maintain seasonal showroom walls according to catalog order
  • Prepare and place Sample ID cards for each style
  • Ensure active styles are properly displayed and organized by brand
  • Monitor sample availability for sales meetings and customer presentations
  • Identify discontinued styles and prepare them for warehouse transfer
  • Communicate inventory shortages or overages to merchandising partners

Receiving & Sample Processing

  • Receive and process international sample shipments
  • Unpack, count, and organize samples by vendor and brand
  • Verify packing lists and document received quantities
  • Photograph products and upload documentation to designated folders
  • Process sample returns from sales reps and customers
  • Inspect returned samples and restore to client-ready condition
  • Reintegrate samples into showroom, library, or development areas
  • Maintain clean and safe receiving workspace

Trade Show Coordination

  • Organize trade show supplies and marketing materials
  • Assist with preparation and packing of show samples
  • Label cartons and prepare detailed content manifests
  • Build and wrap pallets according to shipping standards
  • Coordinate logistics with warehouse for timely pickups
  • Support trade show setup readiness and execution

Container Inspection & Quality Support

  • Perform container inspections as assigned
  • Communicate inspection findings and quality concerns
  • Assist in responding to product quality inquiries
  • Support quality documentation and follow-up

Knowledge, Skills & Qualifications

  • Strong attention to detail and organizational skills
  • Ability to work in a fast-paced, hands-on environment
  • Product handling or footwear experience preferred
  • Proficient in Microsoft Office (Excel, Outlook, Word)
  • Experience with inventory systems preferred
  • Ability to lift up to 40 pounds
