We are hiring for a full-time, on site Production Planning Administrative Assistant to join our growing team.


Position Overview

The Production Planning Admin is the organizational backbone of the Production Planning department. This is an entry level, highly detail oriented role responsible for keeping the physical and digital infrastructure of the planning and quality control process accurate, current, and audit ready.


Working directly under the Production Control & Quality Lead, you provide the dedicated administrative and operational support that allows the planning team to execute at a high level. You take ownership of scheduling coordination, retain management, QC processing support, and system accuracy -functions that are small in visibility but critical in impact. Your precision directly protects the integrity of TWENTY2's production workflow.


This role is ideal for someone who is naturally organized, thrives on structured systems, and takes genuine pride in maintaining order in a fast paced manufacturing environment.


KEY RESPONSIBILITIES INCLUDE:


Administrative Scheduling & Coordination

  • Manage the department's scheduling calendar, ensuring accuracy and visibility across active production timelines.
  • Monitor and triage incoming email correspondence, flagging high priority items to the Production Control & Quality Lead promptly.
  • Maintain clear, organized records of scheduling updates, communications, and action items.
  • Support the Production Control & Quality Lead with administrative coordination tasks as needed to keep the team operating efficiently.


Standards & Retain Lifecycle Management

  • Oversee the full lifecycle of retains, including organization, labeling, filing, and the timely purging of outdated materials.
  • Maintain a consistent labeling and filing system that allows for fast, reliable retrieval of any retain.
  • Maintain the physical organization of all standard binders and retain boxes within the library.
  • Shift and reorganize inventory as needed to optimize space utilization and ensure all materials remain accessible.
  • Uphold a consistent organizational standard that allows any team member to locate materials quickly and confidently.
  • Conduct regular audits of the physical library to identify gaps, misfiled items, or space inefficiencies.


Quality Control Organization & Processing

  • Provide dedicated administrative and physical support for QC strike off processing workflows.
  • Organize strike off items clearly and consistently prior to processing, ensuring nothing is misidentified or misplaced.
  • Photograph strike off items accurately before they are passed to shipping, maintaining a clean and complete visual record.
  • Coordinate the handoff of processed QC items to the shipping team with clear documentation.


Retains Standardization & Tracking

  • Standardize strike off retains upon approval, cross-referencing file name, ground material, and option to confirm the correct retain is accurately identified before filing.
  • Perform restandardization of job retains when needed before they are filed away, verifying accuracy against current production records.
  • Mark all completed items accurately in the ERP system to maintain data integrity and prevent downstream errors.
  • Flag any discrepancies, damaged retains, or system mismatches to the Production Control & Quality Lead immediately.


Qualifications

  • 0-2 years of experience in an administrative, operations, production scheduling, or manufacturing support role; internship or co-op experience welcome.
  • Exceptional organizational skills with a demonstrated ability to maintain structured systems in a physical and digital environment.
  • High attention to detail and a natural drive to catch errors before they move downstream.
  • Comfortable working in a fast-paced, hands-on manufacturing environment with shifting daily priorities.
  • Basic proficiency with ERP systems and Google Workspace; willingness to learn Odoo required.
  • Strong written communication skills for managing email correspondence professionally and efficiently.
  • Physically able to manage and shift physical library inventory, boxes, and binders as needed.
  • A proactive, solutions-oriented mindset with a genuine interest in operational precision and continuous improvement.
