Job description

Administrative Specialist II

Huntsville, AL or Tampa, FL

Position Summary:

Provides advanced administrative and program support with a focus on compliance, documentation, and audit readiness. Coordinates with internal teams to manage program records, reporting, staffing actions, and operational requests, ensuring PMO processes remain accurate and contract compliant.

Position Responsibilities:
  • Maintain contract-required files and audit-ready documentation in accordance with program standards.
  • Support compliance reporting activities including deliverables tracking, data calls, and status reports.
  • Coordinate with HR, Security, and Finance to ensure completeness and accuracy of program documentation.
  • Manage travel coordination, purchase requests, and Other Direct Cost (ODC) documentation as applicable.
  • Track staffing actions, position changes, and related approval workflows.
  • Support inspections, audits, and government reviews by preparing and organizing documentation packages.
  • Serve as backup to the Administrative Specialist I to ensure continuity of PMO operations.
Required Skills and Experience:
  • Associate's or Bachelor's degree in Business Administration, Management, or a related field; or equivalent combination of education and experience.
  • Minimum of 3–4 years of administrative or program support experience, preferably with a federal contractor.
  • Experience maintaining compliance documentation and supporting audit-readiness efforts.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint).
  • Strong attention to detail and ability to manage multiple documentation streams simultaneously.
Desired Skills and Experience (if applicable):
  • Familiarity with contract deliverable requirements (CDRLs) and data call processes.
  • Experience with SharePoint document libraries and version control workflows.
  • Prior experience supporting federal program management offices (PMOs).
