Whova is hiring an entry-level HR Assistant to support recruiting, HR operations, compliance, and a variety of business operations.


This is a hands-on role for someone who is goal-oriented, organized, proactive, and comfortable taking ownership of detailed operational work. You will work on measurable recruiting initiatives, HR policies and compliance, employee records and benefits, office operations, procurement, and finance-related processes. A bachelor's degree is required, and the position requires regular commuting to our San Diego office.

How You will Make an Impact

  1. Recruiting & Talent Acquisition
  • Research and identify career fairs, universities, and recruiting opportunities that align with hiring goals.
  • Coordinate and lead career fair activities, including company information sessions and candidate engagement.
  • Engage with candidates and participants before, during, and after recruiting events.
  • Track recruiting activities and results and work toward quantitative recruiting goals.
  • Support talent sourcing, candidate communication, interview coordination, and other recruiting activities.
  • Identify opportunities to improve recruiting processes and increase the effectiveness of recruiting campaigns.


 2. HR Operations & Compliance

  • Maintain employee records, HR documentation, and required forms accurately and confidentially.
  • Audit legal documents and agreements regularly 
  • Work on HR policies, procedures, and compliance initiatives and ensure proper execution.
  • Assist with employee benefits administration and related documentation.
  • Monitor HR processes and identify opportunities to improve accuracy, efficiency, and consistency.


 3. Business & Office Operations

  • Manage equipment, inventory, office supplies, and related records.
  • Coordinate purchasing, purchase orders, vendor negotiations, and procurement activities.
  • Process business operations such as invoicing, billing, bookkeeping support, and reconciliations.
  • Coordinate office logistics and company-provided services.
  • Maintain accurate operational and financial records and documentation.
  • Take ownership of additional projects that support efficient business operations.


Necessary Skills and Experience

  • Bachelor's degree in any major.
  • 1–2 years of real-world work experience through off-campus employment, internships, or other professional experience is preferred.
  • Strong interest in HR, recruiting, business operations, or a combination of these areas.
  • Goal-oriented and comfortable working toward measurable objectives.
  • Highly organized with strong attention to detail.
  • Self-motivated, proactive, and willing to take ownership.
  • Strong problem-solving and communication skills.
  • Comfortable handling repetitive, detail-oriented work while maintaining accuracy.
  • Able to identify inefficiencies and proactively improve processes.
  • Professional and discreet when handling confidential information.
  • Strong work ethic and ability to manage multiple priorities in a fast-paced environment.
