The Legal Assistant (LA) is a highly organized, detail-oriented professional operating in a pivotal back-office capacity. This role is responsible for providing our legal team with the essential administrative support required to maintain an efficient workflow. The LA serves as an integral part of the team to deliver top-tier estate planning and estate administration services to clients. The ideal candidate is a proactive, reliable team member possessing a keen eye for detail.

Compensation:

$19 - $21 hourly


Responsibilities:Client Intake & Financial Administration  
  • Intake Processing: Manage and execute the client intake process daily, converting inbound leads into clients within the firm's CRM.

  • Agreement & Invoicing: Prepare and distribute official client engagement letters and invoices.

Legal Administration & Case Support  
  • Case-Related Overhead: Provide adaptive support for specific case-related administrative tasks as requested by the legal staff.

  • Client Inquiry Routing: Answer client email inquiries directly or accurately route questions to the appropriate internal team member.

Document Control & File Management  
  • Ingestion & Digital Archiving: Scan and organize estate planning records and incoming client documents daily into digital folders.

  • File Maintenance: Maintain organized physical and digital client files, ensuring that all correspondence, forms, and uploaded documents are properly logged and accessible.

  • Systemic Auditing: Review physical and digital files for absolute completeness on a regular monthly, quarterly, and annual basis.

Signing Ceremony & Front-Office Backup  
  • Official Witness/Notary: Serve actively as a witness or a certified Notary Public during scheduled client signing ceremonies.

  • Front-Desk Coverage: Offer reliable backup support for the Office Coordinator by greeting and welcoming clients or potential clients at the office when needed.


Qualifications:Job Skills & Etiquette  
  • Communication Excellence: Display strong organizational, time-management, written, and verbal communication skills across all mediums.
