Your Mission:
Join ClearRealty as an Operations & Lease Administrator, where you will play a central role in supporting the operational and revenue workflows of a growing real estate portfolio. In this position, you'll take ownership of lease administration, tenant billing processes, and system data integrity, helping ensure that lease records, charges, and recoverable expenses are accurate, timely, and properly maintained.
As part of a developing, startup-style environment, you'll work closely with Accounting, Facilities, Property Operations, and leadership while contributing to the continued refinement of workflows and operational processes. This role offers the opportunity to build structure, support portfolio growth, and directly impact revenue accuracy and day-to-day operational stability.

A day in the life:
  • Administer lease and tenant records within the property management system, ensuring lease data, charges, and critical dates remain accurate and up to date
  • Execute recurring billing and revenue workflows, including monthly rent cycles, recoverable expenses, and tenant charge updates in accordance with lease terms
  • Review lease documents, amendments, and related materials to extract relevant information, validate billing structures, and maintain documentation integrity
  • Serve as a primary administrative point of contact for tenant inquiries related to leases, billings, and account matters, coordinating with Accounting, Facilities, and management as necessary
  • Monitor tenant accounts and ledgers for discrepancies or inconsistencies, coordinating adjustments and resolutions with the Controller or Accounting team
  • Coordinate operational workflows involving tenant requests, vendor documentation, and internal processes, helping ensure activities are tracked and completed accurately and on time
  • Contribute to maintaining organized property, lease, and vendor records while supporting the continued refinement of workflows and procedures within a growing portfolio environment

What we are expecting from you:
  • A Bachelor's degree in Business, Accounting, Finance, Real Estate, or a related field is preferred; equivalent professional experience will be considered
  • Minimum of two (2) years of relevant experience in lease administration, property administration, billing, property management operations, or a related role
  • Demonstrated experience working within system-driven workflows, with strong attention to data accuracy, documentation integrity, and detail-sensitive responsibilities
  • Experience with property management or lease administration platforms (Yardi Voyager strongly preferred) and proficiency with Microsoft Office applications, particularly Excel and Outlook
  • Working understanding of lease structures, tenant charge components, and revenue/billing processes within a property or portfolio environment
  • Ability to interpret lease documents, extract relevant information, and apply established procedures to support billing and operational accuracy
  • Strong organizational and time-management skills, with the ability to manage recurring responsibilities, deadlines, and multiple priorities
  • Strong written and verbal communication skills, with the ability to interact professionally and courteously with tenants, vendors, and internal teams
  • Comfort working in a growing, startup-style environment where processes and workflows continue to evolve, and the ability to adapt while maintaining accuracy and consistency
  • Demonstrated reliability, accountability, and process discipline, with the ability to work independently while adhering to established policies and internal controls
  • Ability to identify discrepancies, inconsistencies, or data anomalies and escalate appropriately
