Job description

We are seeking a detail-oriented and discreet Accounts Payable Specialist to join our team. This role is responsible for the full-cycle accounts payable process, expense reporting, and general staff accounting tasks. As you will have access to sensitive financial data and business strategies, absolute confidentiality and professional discretion are mandatory.

Key Responsibilities include the following:
Full-Cycle AP Processing:
• Manage invoice workflows for multiple projects, ensuring timely and accurate data entry into the QuickBooks accounting system.
• Perform G/L coding and reconcile invoices against purchase orders and contracts.
• Update and analyze budgets across multiple projects.
• Prepare and reconcile check runs against system reports.
• Maintain various tracking spreadsheets for unit activity, recurring costs, and contracts.
Vendor & Internal Relations:
• Act as the primary point of contact for vendor inquiries, researching and resolving past-due statements or payment discrepancies.
• Partner with Property Managers to ensure timely receipt of invoices.
Administrative Support:
• Maintain organized filing systems for invoices, purchase orders, and cancelled checks.
• Assist with year-end audits and file archiving.
Qualifications:
• Experience: 3+ years of related accounting experience or equivalent combination of education and experience.
• Technical Skills: Proficiency in Microsoft Office (Word/Excel) is required. Direct experience with QuickBooks accounting software is required.
• Communication: Strong professional verbal and written communication skills; ability to collaborate effectively with team members and outside vendors.
• Reliability: Proven track record of punctuality. Ability to work evenings, weekends, or holidays if required.

Physical Requirements:
• Ability to sit for extended periods and focus on digital screens.
• Capability to lift and/or move up to 20 pounds (e.g., filing boxes).
