Law Firm Intake information

What is a law firm intake specialist?

A law firm intake specialist is a professional responsible for managing the initial interactions between potential clients and the law firm. They gather essential information about prospective cases, assess whether the firm can take on the client, and ensure that all necessary documentation is collected. Intake specialists play a crucial role in screening clients, scheduling consultations, and providing a positive first impression of the firm. Their work helps attorneys focus on legal matters while ensuring that the intake process is efficient and organized.

What are the key skills and qualifications needed to thrive as a law firm intake specialist, and why are they important?

To thrive as a Law Firm Intake Specialist, you need strong communication, active listening, and organizational skills, often supported by experience in customer service or legal environments. Familiarity with case management software, CRM systems, and basic office technology is typically required. Empathy, professionalism, and attention to detail help build trust with potential clients and ensure accurate information gathering. These skills are vital to effectively qualify leads, support attorneys, and maintain a positive first impression for the firm.

What are some common challenges faced by law firm intake specialists, and how can they be overcome?

Law firm intake specialists often face the challenge of balancing a high volume of inquiries while ensuring accuracy and empathy during initial client interactions. Managing sensitive information, screening potential clients efficiently, and coordinating with attorneys for case evaluation can be demanding. To overcome these challenges, intake specialists benefit from strong organizational skills, clear communication, and using robust case management software to streamline processes. Regular training and close collaboration with legal teams also help improve client service and maintain compliance.

Job description

Law Firm Intake Specialist — THE VOICE OF OUR FIRM

Lieser Skaff | Full-Time | On-Site | Mon–Fri | Real Estate & Business Law

Tampa, FL

Pay: $25.00 - $30.00 per hour

ABOUT THE OPPORTUNITY

At Lieser Skaff, we don't just practice law — we build lasting relationships with clients navigating some of the most important transactions and decisions of their lives. The person who answers that first call sets the tone for everything that follows. That person is you.

We're looking for a Law Firm Intake Specialist who is warm and professional on the phone, relentlessly organized behind the scenes, and genuinely passionate about guiding people through the process of becoming a client. This is not a passive admin role — you will be the first impression of this firm, the person who turns inquiries into engaged clients, and the operational backbone that keeps our attorneys running at full speed.

WHAT YOU'LL OWN

●    Client intake from start to finish — answer inquiries, qualify prospects, quote engagements, draft retainer agreements, coordinate signatures, and set up new clients in our systems. You own this process end-to-end.

●    Speed-to-lead — respond to every inquiry promptly, follow up consistently, and use our CRM (Clio Grow) to ensure no prospect is ever forgotten.

●    Phone coverage — be the confident, welcoming voice callers reach every time they dial our number.

●    Calendaring — manage attorney schedules with precision, ensuring every appointment is set, confirmed, and prepared for.

●    Attorney support — prepare client files, coordinate with legal staff, and handle the administrative details that allow our legal team to focus on practicing law.

●    Office operations — mail processing, filing, general office organization, and the miscellaneous tasks that keep a professional office running smoothly.

YOU'RE THE RIGHT FIT IF YOU…

●    Light up talking to people — you're naturally warm, attentive, and make callers feel heard and at ease immediately

●    Follow through without being reminded — if you own a task, it gets done, and you'll track it until it does

●    Sweat the small stuff (in a good way) — typos, missed deadlines, and disorganized files genuinely bother you

●    Can confidently articulate value and gently guide an uncertain prospect toward a decision

●    Thrive in a structured, professional environment where accuracy and discretion are non-negotiable

●    Have 3-5+ years in a client-facing administrative or intake role at a law firm

WHAT WE OFFER

- Competitive salary with performance bonus structure

- Health & dental insurance

- Retirement savings plan with employer contribution (after one year)

- Paid time off

- A genuinely collegial team that values your contribution

A NOTE ON CULTURE

Lieser Skaff is a focused, collaborative firm. We take our work seriously and care deeply about doing right by our clients — but we also know that a good team makes hard work enjoyable. If you want to be part of a firm where your attention to detail and client-service instincts are genuinely valued, we'd love to hear from you.

Background check required. Lieser Skaff is an equal opportunity employer.
