Customer Operations Coordinator — Labels & Flexible Packaging

Location: South Elgin, Illinois | Schedule: Monday–Friday, 8:00 a.m.–4:30 p.m.

A day in the life

Morning starts with a quick scan of open orders and inventory positions for your assigned accounts. A customer in healthcare has a purchase order in with updated specs—you compare it against the approved quote, flag a discrepancy, and align with planning and sales to correct it before it reaches production. You confirm the agreed ship date, update status notes, and ensure the job ticket is complete and accurate for every functional area. Throughout the day, you’re the hub between customers, sales, planning, manufacturing, and scheduling—answering questions, initiating new jobs, and coordinating changes with precision.

After lunch, a customer requests a price on a new run. You ask targeted questions to lock down quality and pricing requirements, capture those details on the RFQ, and relay the quoted price promptly. You file the quote so it’s easy to retrieve later—and you reference a similar quote to help the estimator/job planner move faster. A quality concern surfaces; you document the complaint, share it with sales and quality, and follow through with the customer so they know we’re addressing it. Before you log off, you verify customer-owned materials and finished goods, coordinating with shipping to ensure releases move on time. You close the day by noting any job changes, communicating price updates, and confirming that every ISO SOP you touched was followed.

What you’ll handle
  • Serve as the primary link between customers, planning, sales, manufacturing, and scheduling.
  • Verify customer POs and specifications against quotes; correct and communicate any discrepancies.
  • Confirm and share agreed ship dates; keep customers and sales informed on job status.
  • Document all job changes promptly and accurately; communicate any pricing updates.
  • Launch job orders with complete, accurate information for downstream teams.
  • Ensure all required data reaches each functional area in a timely manner.
  • Manage customer-owned inventory (materials and finished goods) and coordinate releases with shipping for timely fulfillment.
  • Partner with production planning to align jobs to profitable plans based on contracts or agreed criteria.
  • Follow ISO SOPs as trained.
  • Resolve credit and quality issues with cross-functional support.
  • Provide documented feedback to sales and quality on customer complaints and follow through with customers until resolved.
  • Ask the right discovery questions to capture quote, quality, and pricing needs; include details on RFQs.
  • Communicate quoted prices promptly; organize quotes for easy retrieval and reference similar quotes to assist estimating/job planning.
  • Contribute to quality and process improvement initiatives.
