Job Summary
The Document Control Specialist is responsible for creating, maintaining, and controlling production documentation to ensure manufacturing teams have accurate, current information to build products that meet customer requirements while adhering to internal policies, contractual obligations, and applicable governmental regulations. This role works closely with Compliance, Engineering, Operations and Sales, to develop and maintain packaging documentation while ensuring all controlled documents are properly released and revision-controlled within the company's Enterprise Resource Planning (ERP) system.
Essential Duties and Responsibilities
  • Collaborate with Sales, Engineering, and other cross-functional teams to understand customer requirements for new and revised product packages.
  • Create and maintain all documentation required for new and updated packages, including but not limited to:

- Bills of Materials (BOMs) & ECOs
- Product labels
- Label placement maps
- Packaging documentation
  • Create, revise, and maintain product labels using Adobe Illustrator. Collaborate with cross-functional teams on new label requirements.
  • Assign and maintain the appropriate Harmonized Tariff Schedule (HTS) codes for products and packages.
  • Jointly maintain and control product part-numbers with engineering.
  • Enter and maintain package information within the ERP system.
  • Ensure all documentation follows established document control, release, and revision procedures.
  • Maintain document accuracy and ensure current revisions are available to production personnel.
  • Assist with continuous improvement of document control processes and procedures.
  • Communicate with distributors, importers, and contract manufacturers to ensure BOMs and printed materials are correct and up to date.
  • Assists in calculating pending costs for new item releases.
  • Assists in the review of printed materials.
  • Assists in the preparation and maintenance of master files of product artwork in accordance with legal compliance of various countries.
  • Routes artwork and maintains the filing system for released documents.
  • Assist and advice on the release of new jar artwork.
  • Communicate with other departments regarding project updates.
  • Perform other duties and responsibilities as assigned.

Education and Experience
Required
  • High school diploma or equivalent.

Preferred
  • Associate's or Bachelor's degree in Business, Engineering, Supply Chain, Technical Communications, or a related field.
  • Experience with document control, ERP systems, or manufacturing documentation.

Skills, Knowledge, and Abilities
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple projects and priorities simultaneously.
  • Intermediate proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint. Microsoft Dynamic AX is a plus.)
  • Experience with Adobe Illustrator is preferred.
  • Understanding the basics of bill of materials structure.
  • Familiarity with ERP systems and document control practices is preferred.
