About Progress Medical Labs Progress Medical Labs is a molecular diagnostics laboratory specializing in PCR-based testing. We are committed to accurate, timely results and exceptional service to the clients and patients we support. As we grow, we are looking for a dependable, detail-oriented Lab Administrator to keep our daily operations running smoothly.

Position Summary The Lab Administrator is the operational backbone of the laboratory, bridging the front-end intake process with the business and administrative functions that keep the lab running. This role owns sample accessioning, payroll and bookkeeping, client support for our Laboratory Information System (LIS) portal, supply management, and the wide range of day-to-day administrative tasks that arise in a fast-paced molecular testing environment. The ideal candidate is highly organized, comfortable juggling competing priorities, and able to move fluidly between hands-on lab support and back-office responsibilities.

Key Responsibilities Sample Accessioning • Receive, log, and accession incoming specimens accurately and promptly into the LIS. • Verify patient and requisition information, flag discrepancies, and resolve missing or incomplete data with submitting clients. • Ensure proper specimen labeling, handling, and chain-of-custody documentation in line with laboratory protocols. • Maintain turnaround-time standards by prioritizing accessioning workflows during peak volume. Payroll (ADP) • Process payroll accurately and on schedule using ADP. • Maintain employee time records, track PTO, and reconcile timekeeping discrepancies. • Coordinate new-hire and termination payroll setup, and maintain confidential employee records. Bookkeeping Support (QuickBooks) • Have experience in working with QuickBooks, including accounts payable and receivable, invoicing, and expense tracking. • Reconcile accounts and assist with month-end close and financial reporting. • Track vendor payments and support budgeting and audit preparation as needed.

Client / LIS Portal Support • Onboard and train customers on the LIS portal, including order entry, result retrieval, and reporting features. • Serve as a first point of contact for portal questions and troubleshooting, escalating technical issues as needed. • Develop and maintain training materials and quick-reference guides for clients. Supply & Inventory Management • Fulfill internal and client supply requests in a timely manner. • Monitor inventory levels, place orders, and maintain par levels for reagents, consumables, and collection kits. • Track shipments, verify deliveries against orders, and manage vendor relationships. General Administration • Handle daily miscellaneous administrative tasks, including phone and email correspondence, scheduling, filing, and recordkeeping. • Support compliance and documentation efforts as directed by laboratory leadership. • Identify and implement process improvements to increase administrative efficiency. • Provide cross-functional support to laboratory and operations staff as needed.

Qualifications Required • High school diploma or equivalent; associate's or bachelor's degree preferred. • 2+ years of administrative, operations, or laboratory support experience, ideally in a clinical, diagnostic, or healthcare setting. • Hands-on experience with payroll software (ADP) and accounting software (QuickBooks). • Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning new software systems quickly. • Strong organizational skills and meticulous attention to detail. • Excellent written and verbal communication skills. • Ability to handle confidential information with discretion (HIPAA awareness).
