Job description

We are looking for a detail-oriented Administrative Assistant to support daily office operations for a Contract position based in Rochester, New York. This opportunity is ideal for someone who is comfortable managing administrative workflows, handling incoming calls, and maintaining organized documentation within a real estate and property environment. The role requires strong coordination skills, professionalism in communication, and the ability to keep records accurate and accessible while supporting leasing-related activities.
Responsibilities:
• Manage day-to-day administrative support tasks to keep office operations running efficiently.
• Respond to inbound telephone calls professionally, direct inquiries appropriately, and relay messages in a timely manner.
• Prepare, organize, and maintain physical and electronic files to ensure records are complete and easy to retrieve.
• Assist with documentation related to commercial leasing activities, including compiling and tracking lease paperwork.
• Review and process administrative records with a high level of accuracy, including data entry and document updates.
• Support the preparation, handling, and filing of legal and lease-related documents in accordance with office procedures.
• Coordinate general office tasks such as document management, correspondence, and follow-up on administrative requests.• Previous experience in an administrative support or office coordination role.
