Job description

Administrative Assistant

Our client is seeking an administrative assistant to provide executive support and to work closely with the Senior EA to support a high-growth business within an operating radiopharmaceutical manufacturing environment. This role is responsible for assisting with high frequency conference and event planning, as well as calendar management, meeting and event support, travel and expenses, as well as support of onboarding activities for new hires and other projects as assigned.

This position requires high attention to detail, strong follow-through and initiative, and the ability to problem solve and multi-task.

Responsibilities:
  • Key point of contact for conference and event preparation, travel and scheduling, as well as managing activities such as registration, hotel block booking and group transportation
  • Under the supervision of the senior executive assistant, provide administrative support to executives and work closely with the senior EA on new hire onboarding activities, team events and other projects.
  • Assist with travel needs and preparing expense reports.
  • Assist with management of calendars, conference room scheduling.
  • Travel to Bellevue, WA and Everett, WA site as needed for events and meeting support, including securing multiple meetings.
  • Support preparation of meeting agendas and note taking as needed.
  • Assist with meeting and event support and logistics as requested by Executive Assistant.
  • Copy, scan, file, and track a variety of documents.
  • Assist with editing/proofreading documents electronically including presentations (Word and Power Point), spreadsheets (Excel), and Visio documents.
  • Learn and understand the nature of the business in order to provide value-added service and enhance working relationships.
  • Assist with new hire onboarding by tracking and following up on actions, drafting email announcements and updating the team SharePoint site.
  • Other duties as assigned.
Key Qualifications and Skills:
  • Three plus years of equivalent level administrative support experience
  • Excellent oral and written communication skills in English
  • High proficiency in Microsoft office suite, including familiarity with Teams, OneDrive and SharePoint
  • 2+ years' experience successfully managing events and conferences both domestic and international for a group, while acting as key contact and providing pre and post event support.
  • Excellent grammatical, editing and proofreading skills.
  • Excellent organizational and prioritization skills.
  • College graduate or high school graduate with equivalent experience in a relevant role
Required Demonstrated Abilities:
  • Exceptional attention to detail.
  • Ability to work from the Everett or Bellevue locations as needed.
  • Ability to problem-solve, multi-task and be flexible.
  • Proven ability to exercise high degree of confidentiality.
  • Ability to work in a busy, frequently interrupted setting.
  • Conduct and present oneself in a highly professional manner with both internal and external clients and personnel.
  • Proven ability to work independently with little or no supervision.
