Be the Person That Keeps Everything Running

Our client, an established and growing manufacturer of highly engineered industrial equipment, is searching for an organized, customer-focused professional who enjoys wearing multiple hats.

This is much more than a traditional administrative position.

You'll become a key member of the operations team, supporting customers, purchasing, production, engineering, and leadership while helping ensure projects move efficiently from start to finish.

If you thrive in a fast-paced manufacturing environment, enjoy solving problems, and like interacting with both customers and internal teams, we'd love to hear from you.

What You'll Do

No two days will look exactly the same. Responsibilities include:

  • Serve as the first point of contact for customers, vendors, and visitors
  • Build strong customer relationships through professional communication
  • Answer questions regarding orders, schedules, deliveries, and service requests
  • Process purchase orders and assist with order tracking
  • Coordinate with vendors regarding materials, pricing, and delivery schedules
  • Assist the Purchasing department with sourcing and supplier communication
  • Support production scheduling and project coordination
  • Work closely with Engineering, Service, Sales, and Manufacturing teams
  • Prepare quotes, documentation, reports, and customer correspondence
  • Maintain customer records and internal databases
  • Coordinate meetings, travel arrangements, and office logistics
  • Assist with shipping, receiving, and inventory documentation when needed
  • Help prioritize multiple projects while maintaining exceptional customer service
  • Jump in wherever needed to help keep operations moving efficiently

What We're Looking For

We're looking for someone who is comfortable in a manufacturing environment and isn't afraid to "talk shop."

The ideal candidate enjoys learning technical products and communicating confidently with customers, engineers, purchasing professionals, and production personnel.

You should have:

  • 3+ years of administrative experience in manufacturing, industrial, or engineering environments
  • Outstanding customer service and communication skills
  • Experience processing purchase orders
  • Strong organizational and multitasking abilities
  • Comfortable speaking with customers, suppliers, and internal teams
  • Experience supporting purchasing, operations, or production departments
  • Excellent Microsoft Office skills
  • Strong attention to detail
  • Ability to work independently with minimal supervision
  • Professional attitude with a positive, team-first mindset

Preferred Qualifications

Experience with any of the following is highly desirable:

  • ERP systems (SAP, Epicor, Plex, Oracle, or similar)
  • Manufacturing operations
  • Purchasing or procurement
  • Production scheduling
  • Industrial equipment or machine tool manufacturing
  • Inventory control
  • Vendor management
  • Customer order management
  • Technical documentation
  • Shipping and logistics coordination

What Makes This Opportunity Different

This is a highly visible position where you'll work directly with nearly every department in the organization.

You'll become the "go-to" person who helps keep projects, customers, and operations moving smoothly.

If you enjoy variety, problem-solving, and being an important part of a growing manufacturing operation, you'll find this role incredibly rewarding.
