Job Description
Position: Engagement Coordinator Status: Full-time, Exempt
Supervisor: Director of Camp amp; Client Events Work Location: Office
Hemophilia of Georgia (HoG) is a nationally and internationally recognized nonprofit organization that provides programs and support services for people with hemophilia, von Willebrand Disease, and other bleeding disorders. HoG is the only agency of its kind in the state and is dedicated to enhancing the health and wellness of the bleeding disorder community by providing excellence in comprehensive health care, education, advocacy, and the support of research to transform lives.

This position provides direct support to the Engagement Department to help ensure the overall success of the department. The position provides logistical and customer service support to the team under the direction of the Director of Camp amp; Client Events.
Hemophilia of Georgia operates an annual summer camp program for children and teens with hemophilia and other inherited bleeding disorders. Camp is typically held in the summer (which may include the Fourth of July) and runs Saturday-Friday, and the date changes each year. Camp is an agency-wide, strategic priority; therefore, all exempt employees must participate. Assignments may include duties at camp, helping campers get to and from camp, and may involve overnight travel. The Director of Camp amp; Client Events will provide advance notice to exempt employees of where support is needed. PTO requests during the week of camp are generally not approved; however, PTO requests for extenuating circumstances will be reviewed on a case-by-case basis by the Chief Community Engagement Officer.
Qualifications:
  • Bilingual (Spanish speaking) is preferred.
  • At least 2 years’ experience in using Salesforce (preferably NPSP) or other customer relationship management software.
  • Must possess excellent written and verbal communication skills with the ability to communicate professionally with colleagues and the public.
  • Proficient in Microsoft Office Suite applications, especially Word and Excel.
  • Ability to learn and manage department-specific software.
  • Proven ability to work effectively in a team environment.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Excellent time management skills and the ability to manage multiple projects.
  • Position requires critical thinking and excellent problem-solving skills.
  • Excellent organizational skills.
  • Availability to work flexible hours including nights and weekends as needed.
  • Must be able to lift and carry 30 pounds
Essential Functions:
  • Provide logistical support to Client Engagement Team
    • answer calls
    • track communication with patients and volunteers
    • create reports
    • manage mailings- create, print amp; fold invites, order stamps amp; envelopes
    • team meeting logistics- schedule, take minutes, order catering when needed
  • Manage Community Events calendar to ensure accuracy and invite all HoG to events
  • Staff HoG events as needed/requested to provide logistical support
  • Process event follow-up correspondence, including sending out evaluation links, to all stakeholders.
  • Support event growth by calling eligible participants to invite them to register and attend
  • Ensure appropriate document retention, maintenance/destruction of records at Iron Mountain and electronic document retention
  • Support Volunteer Recruitment, retention and onboarding efforts
  • Maintain communication with volunteers re: missing paperwork
  • Send reminder communications to volunteers when requested
  • Assist with hosting corporate volunteer groups in the office including arranging project space, ordering lunch, and hospitality at the office
  • Manage registration process for client events
    • Set up event registration and forms in appropriate system
    • Manage forms for each event- Track and follow up with event attendees for completion of required forms prior to events.
    • Communicate confirmations and reminders to clients amp; families.
  • Provide logistical support for all events including creating event data reports, nametags, schedules, volunteer information, etc. in collaboration with team members
  • Camp Wannaklot amp; Teen Retreat logistics tasks-
    • Set up and update required paperwork for camper check in/out process.
    • Create luggage tags
    • Create necessary labels for each camper
    • Maintain communication with parents for missing information
    • Order lunches for bus stops
  • Communicate with parents during camp week to remind them to pick up camper from camp via calls, text and email.
Additional Responsibilities:
  • Serve on HoG teams as assigned.
  • Attend meetings and conferences as assigned by supervisor.
