Job description

Adlers Jewelers is seeking a highly organized, detail-oriented professional to join our team as a Back Office & Repair Coordinator. This position plays an important role in supporting our sales team, repair department, inventory control, and day-to-day store operations.

The ideal candidate is comfortable working in a fast-paced luxury retail environment and has excellent organizational, computer, and customer-service skills. Jewelry industry experience is preferred, but we are willing to train the right candidate.

Key Responsibilities
  • Create and process customer and vendor orders accurately through our POS system.
  • Enter and maintain inventory information, ensuring records are accurate and up to date.
  • Create repair orders, estimates, and related documentation within the POS system.
  • Assist with the repair intake process, including accurately documenting customer requests, item details, condition, and requested work.
  • Prepare repair estimates and communicate necessary information to the sales team and customers.
  • Monitor repairs throughout the process and follow up with vendors, bench jewelers, and other service providers as needed.
  • Track outstanding repairs and special orders to ensure timely completion.
  • Follow up with customers when repairs or special orders are completed and ready for pickup.
  • Assist with receiving merchandise and reconciling inventory against invoices and purchase orders.
  • Help maintain accurate records for repairs, special orders, inventory transfers, and vendor transactions.
  • Assist sales associates with administrative and operational tasks.
  • Maintain organized files and documentation related to repairs, orders, and inventory.
  • Identify discrepancies or missing information and work with management to resolve them.
  • Provide general back-office support to ensure the store operates efficiently.
  • Maintain a high level of confidentiality, professionalism, and attention to detail.
Qualifications
  • Previous administrative, retail, jewelry, or customer-service experience preferred.
  • Strong computer skills and the ability to learn POS and inventory-management systems.
  • Excellent organizational and time-management skills.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Professional appearance and demeanor appropriate for a luxury retail environment.
  • Ability to work effectively with sales associates, management, customers, vendors, and repair professionals.
  • Jewelry knowledge or previous experience with jewelry repairs is a plus.
