Position Primary Purpose

The IT Systems Administrator role is critical to supporting White Bird Clinic's IT infrastructure, ensuring the delivery of essential care to clients. This position focuses on providing exceptional service to staff and expanding technical expertise in Microsoft Azure, IT automation, and cybersecurity. Responsibilities include communicating with staff, providing end user training and support, troubleshooting technical issues, safeguarding critical systems, implementing innovative technology solutions, and contributing to the development of the overall IT strategy. The role also involves understanding staff needs and balancing usability, cost, security, and compliance.

Essential Functions

Performs troubleshooting and resolution of complex technical issues related to workstations, servers, networks, mobile devices, software, and cloud systems.

Completes new user onboarding and orientation and offboard departing users according to established organizational processes.

Monitors and optimizes server, workstation, network, and cloud system performance.

Implements and manages critical technology projects, including planning, project management, and collaboration with senior IT staff and stakeholders.

Designs, installs, and maintains network and cloud infrastructure, including hardware and firewalls, in collaboration with the senior staff on the IT team.

Ensure system security and compliance with White Bird Clinic policies, HIPAA, 42 CFR Part 2, and other applicable security and privacy requirements.

Identifies, documents, responds to, and escalates cybersecurity risks, vulnerabilities, suspected security incidents, and related compliance concerns in accordance with organizational procedures.

Maintains and manages the Office 365 environment and manages server and cloud system backups.

Recommends, plans, and implements modern technology solutions to advance agency goals.

Ensures that all service requests, incidents, and changes are properly logged and updated in the ticketing platform.

Maintains comprehensive documentation of technical systems and creates instructional materials for end users.

Communicates effectively with IT project/organization stakeholders and ensures clear status updates and results dissemination.

Key Competencies:

Ability to maintain confidentiality and discretion.

Extensive knowledge of workstations, servers, networks, VoIP, mobile devices, and cloud systems, focusing on Microsoft Azure, IT automation, and cybersecurity.

Working knowledge of cybersecurity best practices, incident response procedures, HIPAA and 42 CFR Part 2 requirements, along with the ability to recognize, protect, and appropriately escalate risks involving sensitive or regulated information.

Ability to plan, manage, and execute IT projects, ensuring adherence to security practices, timelines, and budgets.

Strong analytical and troubleshooting skills for diagnosing and resolving technical issues efficiently.

Proficiency in designing, installing, and maintaining network and cloud infrastructure, including hardware and firewalls.

Capacity to take ownership of specific systems, leading maintenance, and backup efforts to ensure optimal performance.

Excellent communication skills for conveying project status, updates, and technical information to stakeholders and end users.

Effective teamwork and collaboration skills for working with IT staff and stakeholders on project implementation and system maintenance.

Capability to recommend and implement modern technology solutions that align with and advance agency goals.

Minimum Requirements and Education:

High school diploma or equivalent.

Minimum of two (2) years of experience supporting computers and servers in a Windows environment.

Knowledge and experience administering Active Directory, Microsoft Entra ID, and Office 365 using best security practices.

Technical support experience with cloud VoIP phone systems, Polycom phones, and soft phone applications.

Experience building and maintaining an IP multi-site wired and wireless network utilizing firewalls, switches, access points, and VPNs using best security practices.

Strong knowledge of cybersecurity best practices.

Experience supporting Apple iPhones.

Excellent verbal and written communication skills, including the ability to document workflows, generate technical reference documentation, and produce end user instructions.

Preferred Qualifications:

BA or BS degree in Information Technology, Cyber Security, or related field, or equivalent certification.

Extensive experience as a Systems Administrator or technical support.

Experience with Unifi, FortiGate, or similar enterprise networking hardware and Wi-Fi platforms.

Experience with Azure services development, deployment, and administration.

Experience administering servers in a Hyper-V failover cluster environment.

Support experience with applications such as SharePoint, Office 365, Power Automate, eClinicalWorks, and CareLogic.

Experience with mobile device management (MDM) systems like Microsoft Intune or MaaS360.

Proficiency with remote monitoring and management (RMM) and network monitoring tools.

Programming and scripting background experience with automating tasks using PowerShell.

Veeam backup implementation and administration.

IT support within a healthcare environment and HIPAA compliance knowledge.
