Overview

The CRM Administrator is the technical steward and operational owner of Invest Puerto Rico’s CRM platform, which functions as the organization’s institutional intelligence system supporting the full investment attraction lifecycle. This role is responsible for maintaining the health, structure, and integrity of the CRM, ensuring it reliably supports both Business Development and Marketing needs while remaining neutral, governed, and aligned with organizational priorities.
The CRM Administrator does not set business strategy or interpret data for decision-making. Instead, the role ensures that accurate, timely, and well-structured data and reports are available so BD and Marketing leaders can execute outreach, manage pipelines, and drive investment outcomes effectively.

Key Responsibilities

CRM System Administration

  • Serve as the system owner and technical steward of the CRM platform, Salesforce, ensuring stability, usability, and alignment with organizational workflows.
  • Administer system configurations, user roles, permissions, integrations, and enhancements.
  • Manage data imports from events, campaigns, external partners, and third-party platforms.
  • Monitor CRM health through regular audits, duplicate management, validation checks, and data clean-up.
  • Act as the primary point of contact for CRM vendors and external technical partners.
  • Document system changes, configurations, and data standards to ensure continuity and scalability.

Data Quality & Governance

  • Establish and enforce CRM data governance standards that ensure accuracy, consistency, security, and long-term usability.
  • Define and maintain data entry protocols in coordination with Business Development and Marketing stakeholders.
  • Safeguard data integrity while balancing the operational needs of multiple teams.
  • Provide training materials and user guidance to promote consistent CRM adoption and best practices.

Reporting & Dashboards

  • Build and maintain dashboards and standard reports that provide visibility into pipeline activity, lead flow, engagement levels, and campaign tracking.
  • Pull data and generate reports for leadership, BD, and Marketing teams upon request.
  • Ensure reports reflect agreed-upon definitions and data structures.
  • Provide data views and outputs without interpreting results or making strategic recommendations.

Cross-Functional Enablement

  • Support Business Development by ensuring the CRM accurately tracks investor relationships, opportunities, pipeline stages, and engagement history.
  • Support Marketing by ensuring lead capture, segmentation, campaign activity, and event follow-up are properly structured and visible in the CRM.
  • Facilitate alignment between BD and Marketing by ensuring both functions operate from a shared, consistent data environment.
  • Participate in CRM governance discussions and implement approved changes in a neutral, technically sound manner.

Compliance & Continuous Improvement

  • Ensure compliance with applicable data protection and privacy regulations
  • Maintain audit trails and manage system access controls.
  • Identify opportunities to automate workflows and improve operational efficiency without compromising data integrity.
  • Stay current on CRM platform enhancements, best practices, and emerging tools relevant to investment attraction organizations.

Additional Responsibilities

  • Perform other duties as assigned by the Chief Marketing Officer, Chief Business Development Officer and/or C-Suite executive in support of Invest Puerto Rico’s mission and mandate.

Required Qualifications

  • Bachelor's degree in Data Analytics, Statistics, Economics, Business Administration, Computer Science, Information Systems, or a related field.
  • 3-5 years of experience in data analysis, business intelligence, or reporting roles.
  • Advanced proficiency in Power BI and Tableau with demonstrated ability to create sophisticated dashboards and visualizations.
  • Strong expertise in Excel including pivot tables, advanced formulas, and data modeling.
  • Experience with SQL or other database query languages for data extraction and manipulation.
  • Proven track record of managing multiple projects with competing deadlines in a fast-paced environment.
  • Exceptional attention to detail and commitment to data accuracy.
  • Bilingual proficiency in English and Spanish.
  • Strong written and verbal communication skills with experience and ability to present technical information to leadership-level audiences.

Preferred Qualifications

  • Experience in economic development, investment promotion, or related public/private sector roles.
  • Familiarity with CRM platforms (Salesforce, HubSpot, or similar).
  • Knowledge of statistical analysis tools (R, Python, SPSS).
  • Understanding of Puerto Rico's business environment, Act 60 incentives, and economic development landscape.
  • Experience working with government reporting requirements and transparency standards.
