Job description

FOODS DIVISION

Position Summary and Responsibilities:

The purpose of the Assistant Inventory Control Manager position is to assist the Inventory Control Manager with scheduling and maintenance of inventory counts and management of Inventory Control personnel to ensure maximum operational efficiency.

· Manage inventory control department processes to ensure product is available and safe for product resale.

·   Produce and analyze product reports and formulate proactive plan to optimize operational efficiency.

·    Establish and ensure compliance with operational best practices that result in a balanced online vs physical inventory.
 

·   Manage and monitor dead and damaged inventory to optimize inventory levels.
 

·   Maintain branch inventory to be in compliance with standardized Food Division Inventory Control management procedures to ensure integrity and reduce shrink loss.

The key outputs for assistant Inventory Control manager are listed below.

KEY OUTPUTS

a.     Manage inventory control processes to ensure product is available and adequate for product resale.

§  Identify and resolve all discrepancies between system counts and physical counts.

§  Assist with inventory checks sent by fax, email or voicemail from buyers, sales reps, customers and vendors. This includes not only counts but quality assurance as well. Dates, weights and food safety/quality

§  Coordinating with the Food Safety Manager when a potential or present food safety issue is found.

§  Oversee the accurate return of inventory to our vendors when staged in our reclamation room. This includes the billing and scheduling of pickups.

§  Coordinate and work with the Returns Supervisor to guarantee product returns are accurately and safely returned to inventory.

§  Evaluate system product data to ensure proper coding is applied to inventory.

§  Pull inventory samples for BEK sales representatives upon request.

§  Perform all classes of recalls. Coordinating with our Food Safety Director on progress and directional updates. Proficiently  handling recalls from start to finish in all of our Ben E Keith systems. CICS, KBIT, and Seneca.

b.     Produce and analyze inventory reports and perform other administrative duties to optimize operational efficiency.

§  Run daily reports for associates to ensure slot availability, as well as correct receiving and shipping data.

§  Work with our team leads and supervisors to resolve any problems that are identified through our daily reports.

§  Work with AP to resolve any receiving errors to assure our bills are paid properly.

§  Perform customer contact, documenting call results, and enter credits for product pickups.

c.     Assist Inventory Control Manager with duties as needed.

§  Support IC Manager in month-end closing and maintain monthly backup records.

§  Analyzing weekly and monthly inventory data to identify negative trends.

§  Monitoring and approving of payroll.

§  Assist Inventory Manager in verifying accuracy of product data.

§  Maintain records for the Food and Drug Administration (FDA) and U.S. Department of Agriculture (USDA) visits.

d.    Set an example for all operations associates through professional

and ethical management practices.

§  Meet financial standards by providing annual budget information, monitoring of expenditures and implementing corrective actions

e.     Ensure compliance with operational best practices that result in a balanced online vs. physical Inventory.

§  Ensure online inventory system is in synchronization with the physical inventory by tracking lost items and adjusting records.

§  Establish monthly cycle count schedules and ensure adherence by relevant personnel.

§  Coordinate with the Slot Optimization Manager to assure transferred and new products have a pick location and are slotted in the proper temperature zone.

f.      Manage and Monitor dead and damaged inventory to optimize inventory levels.

§  Establish inventory levels by studying supply usage patterns and forecasts.

§  Coordinating with purchasing department on reorder points.

§  Evaluate and eliminate dead inventory with the assistance of purchasing.

g.     Maintain branch inventory in compliance with standardized Food Division inventory control management procedures to ensure integrity and reduce shrink losses.

§  Maintain physical inventory procedures, count teams, and organize the preparation and count with the assistance of the Division Controller.

§  Initiate and monitor procedures that will ensure inventory variance does not exceed company guidelines.

§  Organize and verify inventory by planning item locations.

h.     Coordinate and work with the returns supervisor to guarantee product returns are accurately and safely returned to inventory.

§  Organize support and help returns when large or complicated returns arrive.

§  Assist in analyzing driver scan reports vs. what was actually returned to inventory

§  Help to investigate and correct weight and count discrepancies between what was invoiced and what was returned.

MANAGERIAL DUTIES

·         Manage and oversee the Inventory Control and Returns Associates to ensure they perform all job duties and to assure accurate accounting of our $50+ million of inventory.

·         Logging vacations and scheduling of associates.

·        Monitor and record Inventory Control Associates attendance.

·        Performing write ups and following through with disciplinary action of associates  when necessary.

·        Assess performance of direct reports and provide feedback.

·        Consistently demonstrate and model god management and self –management practices in support of BEK culture.

·         Ensure inventory levels are optimized.

·        Manage and handling of recalls to ensure regulatory guidelines and met and maintained.  

·        Interviewing of potential job candidates and assisting in the hiring process.

·         Work with the Inventory Control Manager to strategize and implement future courses of action.

·        Provide feedback to Inventory Control Manager as needed.

Education and/or Work Experience Requirements:

·    Minimum two years of inventory control experience required

·    Some management experience preferred

·    Extensive product knowledge a plus

·    Food service industry experience preferred

·    Knowledge of FDA and USDA guidelines

·    Microsoft Office experience a must, including Word, Excel and Outlook

·   Data entry (10-key by touch) skills required

·   Knowledge of warehouse RF system and using an RF scanner

·   Ability to learn and use relevant internal applications
