Job description

Reports to:
Inventory Control Manager
Cooperates with:
Inventory Control, Receiving, Purchasing, Material Planning, Production, Quality, Finance, and other departments as needed
Location: On-Site - Houston, Texas
Primary Responsibility:
Provide administrative and system support to MIRATECH's Receiving and Inventory Control functions, helping ensure receiving transactions, documentation, direct-ship/drop-ship activity, inventory records, and related administrative processes are completed accurately and timely. This position is responsible for routine receiving data entry, Syspro transactions, documentation control, tracking, and inventory data reconciliation. The role is designed to reduce routine administrative workload from the Receiving Supervisor while strengthening inventory data integrity and allowing the Receiving team to remain focused on physical receiving and material flow.
Duties and Responsibilities:
  • Process routine receiving transactions in Syspro accurately and timely, including receipts for material physically received at the MIRATECH facility.
  • Process routine direct-ship and drop-ship receiving transactions and maintain visibility of outstanding activity.
  • Review receiving paperwork against MIRATECH Receiving Standards for completeness, accuracy, traceability, required notes, dates, quantities, locations, signatures, and other required information.
  • Maintain the Receiving Control Log, PO trackers, and other department records to provide accurate visibility of receiving activity and outstanding transactions.
  • Match receiving transactions to applicable purchase orders and supporting documentation and identify missing or inconsistent information for follow-up.
  • Enter required transaction information, including serial numbers, and progressively assume additional Syspro responsibilities based on training and demonstrated proficiency.
  • Scan, organize, and electronically file receiving documentation and maintain accurate records within the appropriate MIRATECH SharePoint locations.
  • Reconcile receiving documentation, tracking information, Syspro transactions, and inventory records to identify discrepancies and support data integrity.
  • Maintain and update approved inventory location and bin information and process approved location or bin moves in Syspro.
  • Research basic Syspro transaction history and assist with inventory data cleanup, reconciliation, reporting, and documentation.
  • Support the Houston Outstanding PO Review process by identifying POs that appear received but remain incomplete in the receiving records, Syspro, or documentation.
  • Maintain administrative records and status information for RMAs, customer returns, Non-Conforming material, and other receiving exceptions.
  • Assist with inventory-control reporting, data gathering, trackers, and other administrative projects.
  • Communicate discrepancies, incomplete information, and exceptions to the appropriate Receiving or Inventory Control leadership rather than working around established processes.
  • Perform other duties as assigned.

Qualifications:
  • Education: High school diploma or equivalent.
  • Experience: Previous experience in data entry, administrative support, receiving, inventory control, purchasing, warehouse administration, manufacturing administration, or a similar role preferred.
  • Technical Skills: Comfortable working with computer systems and spreadsheets; proficiency with Microsoft Office, particularly Excel and Outlook. Ability and willingness to learn and work in an ERP system such as Syspro.
  • Communication Skills: Strong written and verbal communication skills with the ability to communicate professionally with Receiving, Purchasing, Inventory Control, and other departments.
  • Organizational Skills: Ability to manage multiple priorities in a fast-paced environment while maintaining a high level of accuracy and follow-through.
  • Attention to Detail: Strong attention to detail and ability to identify discrepancies when comparing purchase orders, receiving documentation, system records, and inventory information.
  • Independence: Ability to work independently, maintain organized records, follow established procedures, and appropriately escalate issues when additional direction is required

  • Previous experience using Syspro or another ERP system for receiving, inventory, purchasing, or related transactions.
  • Experience with purchase order receiving, inventory reconciliation, data cleanup, or maintaining inventory records.
  • Experience working with serial numbers, inventory locations/bin records, receiving documentation, or operational tracking systems.
  • Experience in a manufacturing, industrial, or warehouse environment.
  • Strong Excel skills and experience maintaining operational spreadsheets, trackers, or reports.
  • Demonstrated ability to learn new systems quickly and progressively take on additional responsibilities.
