Job description

POSITION TITLE: Inventory Specialist
FACILITY/DEPARTMENT: Materials/Supply Chain
Position reports to: Materials Manager
Position supervises: none
Position purpose: Responsible for maintaining current replenishment processes and overall organization of supplies and equipment. This position will serve as a primary point of contact for all material/equipment related needs for the center.
Interpersonal Relationships: As a representative of this facility, all comments, attitudes, actions, and behaviors have a direct effect on the facility's image and perceptions of quality service. Interaction with patients, families, physicians, referral sources, affiliating schools, visitors, teammates, managers, vendors, etc. must be in a manner that is friendly, supportive, courteous, respectful, cooperative, and professional. This behavior should promote an atmosphere of teamwork, which is congruent with center standards and guidelines to promote positive relations.
Licenses or Certifications: none required
Education, vocational training, and experience:
  • High School Graduate or equivalent
  • Minimum two (2) years' experience in inventory control
  • Strong organizational skills
  • Proficient in Microsoft Office Suite, with an emphasis on Word and Excel
  • Self-starter with excellent written and verbal communication skills
  • Great attention to detail, quality, and a desire for success

Duties/Responsibilities:
  1. Responsible for maintaining current replenishment processes; forecasting, generating purchase orders, submitting/confirming/updating order confirmations.
  2. Communicates backorder/recall information to all necessary parties.
  3. Responsible for verification of daily deliveries and accuracy of packing slips.
  4. Monitoring of damaged goods and coordinating returns as necessary.
  5. Updates and maintain accurate records within the HST system.
  6. Documents receipts, errors, shorts, recalls, and damaged goods on invoices or requisitions.
  7. Responsible for reviewing and processing invoices with purchase orders and packing slips.
  8. Maintains and monitors inventory levels and organization of supplies.
  9. Ensure supply locations are left in neat and orderly fashion.
  10. Responsible for having a working knowledge of supplies/equipment.
  11. Assist in equipment management/repairs - shipping/receiving/storage.
  12. Maintains inventory accuracy within the range of 5% (-/+).
  13. Maintains accurate filing system of all related documents.
  14. Coordinates recalls for assigned stock/equipment within the organization as necessary.
  15. Maintains current "Outdate" processes.
  16. Will assist management with scheduled physical inventories.
  17. Maintains processes for Medline Renewal Program.
  18. Assists with daily completion of patient charges.
  19. Work with all departments to achieve company goals.
  20. May be required to perform additional tasks as assigned by Administration/Management.
  21. Ability to take ownership and leads by example.
  22. Ability to contribute in a cross-functional collaborative environment.
  23. Ability to learn quickly and work independently.
  24. Self-motivated with the attitude and ability to be successful as part of a team.
  25. Performs all other duties as assigned

Working Conditions/Physical Requirements:

  • Lifting and carrying items weighing up to 50 lbs
  • Corrected vision and hearing to within normal range
  • Intermittent physical mobility/activity including walking, standing, sitting, light lifting, pushing, and pulling of carts. Must be able to bend body downward at the waist, be able to kneel.
