OPERATIONS ASSOCIATE 

Intersect Illinois is the only statewide economic development organization focused on bringing new businesses, jobs, and investment to Illinois. Intersect collaborates with industry, academic and government partners to showcase to international and domestic companies why Illinois is the best location for expansion and relocation.   


Intersect Illinois markets the state's position as a leading global business destination, including its diverse economy, abundant talent, unparalleled infrastructure, superior quality of life, and strong public and private and partnerships. 


A not-for-profit, public-private partnership, Intersect Illinois is funded by the State of Illinois and private donations, and guided by a board of directors comprised of private sector leaders. Its business development, marketing and research teams provide data, location assistance, and connections to companies considering growth in Illinois, helping navigate and simplify the site selection process. 

Operations and Administrative Department 

Intersect Illinois' Operations Team is responsible for organizing and coordinating office administration and procedures in order to ensure organizational effectiveness, efficiency and safety. The team develops intra-office communication protocols, streamlines administrative procedures, controls inventory, supports office staff and delegates tasks. The Operations Team supports the entire office. 

Opportunity

TheOperations Associateprovides assistance to theV.P. of Administration and Operations in the daily management of office business. Tasks will vary according to businessoperationswith a typical focus on the financial, inventory, administrative support, event management and human resources functions of the organization. 

Responsibilities 
 

      • Serve as the executive assistant to the CEO 
      • Oversee and support all administrative duties in the office and ensure that office is operating smoothly 
      • Maintain a clean and organized environment 
      • Manage office supplies inventory and place orders as necessary 
      • Perform receptionist duties: greet visitors, and answer and direct phone calls 
      • Receive and sort incoming mail and deliveries, and manage outgoing mail 
      • Assist with office layout planning and managing and maintaining IT infrastructure 
      • Identify opportunities for process and office management improvements, and design and implement new systems 
      • Assist with creating and managing invoices and banking functions 
      • Manage the receiving and processing of vendor and external invoices 
      • Assist with the planning and execution of all event planning 
      • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports 
      • Providing other executive assistant functions as needed 
      • Perform special projects and duties as assigned 
      • Ability to work in a team environment 

 
 

Required Knowledge/Experience 
 

      • Functional knowledge: financial processes, vendor relationships 
      • Proficient in: Microsoft Office, SharePoint, Adobe Professional 
      • Experience: 3 - 5 years of experience in an office manager or executive administrative position 
      • Attributes: organized, positive attitude, multi-tasker, proactive 
      • Skills: ability to work on multiple projects at a time in a face-paced environment 
      • Degree: Communications, Business or any other related field
