Role Description The Proposal Coordinator is a full-time, on-site role based in Phoenix, AZ. This role is responsible for coordinating the end-to-end proposal process, including organizing proposal timelines, gathering required content, and ensuring deliverables meet client and internal standards. Day-to-day tasks include preparing and formatting proposal documents, drafting and editing proposal content, responding to RFPs, and maintaining proposal libraries and templates. The Proposal Coordinator collaborates closely with marketing, business development, and subject matter experts to develop compelling, accurate materials that reflect client needs and brand guidelines. The role also involves tracking proposal status, supporting continuous improvement of proposal processes, and contributing to special projects as needed.
Qualifications
  • Demonstrated skills in Proposal Coordination and Proposal Management, including organizing tasks, timelines, and stakeholder input.
  • Experience with Proposal Preparation and Proposal Writing, with the ability to create clear, concise, and tailored content.
  • Familiarity with responding to RFPs, including interpreting requirements and assembling compliant, complete submissions.
  • Strong written and verbal communication skills, with attention to detail, grammar, and formatting.
  • Proficiency with Microsoft Office and/or Google Workspace; experience with design or proposal software is a plus.
  • Ability to manage multiple deadlines, prioritize workload, and work collaboratively in a fast-paced environment.
  • Bachelor’s degree in Marketing, Communications, Business, or a related field, or equivalent combination of education and experience.
  • Experience in commercial real estate, professional services, or marketing agencies is preferred but not required.
