Job Summary

The Veterinary Radiologist Resource Manager is responsible for managing VCR's global team of board-certified veterinary radiologists, ensuring seamless 24/7/365 diagnostic coverage across all time zones. This role owns the full scheduling lifecycle - building and maintaining radiologist shift schedules, managing coverage gaps and time-off requests, and coordinating across a geographically distributed team to ensure uninterrupted service delivery. The Radiologist Resource Manager also tracks hours worked and scan volume for each radiologist to support accurate and timely compensation processing. The ideal candidate is exceptionally organized, a strong communicator, and comfortable working in a fast-paced, always-on environment where continuity of coverage directly impacts patient care.

Essential Job Functions

Scheduling & Coverage Management

  • Build, maintain, and publish radiologist shift schedules that ensure continuous 24/7/365 diagnostic coverage across all time zones and practice segments.
  • Monitor daily coverage in real time; proactively identify and resolve gaps caused by unplanned absences, time-off requests, or schedule conflicts.
  • Manage time-off requests, holiday scheduling, and coverage swaps in a fair and operationally sound manner, ensuring no shift goes unstaffed.
  • Coordinate scheduling across multiple time zones, taking into account the geographic distribution of VCR's global radiologist network to optimize shift alignment and handoff continuity.
  • Serve as the primary point of contact for radiologists regarding scheduling questions, shift changes, and coverage needs; respond promptly to urgent coverage requests.
  • Maintain an up-to-date roster of active radiologists including credentials, licensure status, modality capabilities, and availability windows to inform scheduling decisions.
  • Flag anticipated coverage needs based on scheduling trends and volume data to the Director of Radiologist Operations to inform staffing planning.


Hours & Productivity Tracking

  • Accurately track hours worked by each radiologist on a daily and weekly basis, maintaining detailed records to support payroll and compensation processing.
  • Track scan volume produced by each radiologist per shift, including breakdown by modality (radiograph, ultrasound, CT, MRI) and service type (routine vs. STAT).
  • Compile and submit accurate hours and productivity data to Finance on a defined schedule to support timely radiologist compensation and invoicing.
  • Identify and flag discrepancies in hours or scan data; work with radiologists and internal teams to resolve variances in a timely manner.
  • Maintain organized, audit-ready records of all scheduling, hours, and productivity data; ensure data integrity across tracking systems.
  • Produce regular reports on radiologist utilization, coverage hours, and scan throughput for leadership review; surface trends and capacity insights to inform staffing strategy.


KPI Tracking & Performance Reporting

  • Track and report on key radiologist performance metrics on a regular cadence, including scan growth over time, scans per hour, and scan volume by body type and modality.
  • Monitor individual and team productivity against established benchmarks; identify over- and under-production trends and surface findings with supporting context to the Director of Radiologist Operations.
  • Analyze scan volume by body type and modality to support workload balancing, staffing decisions, and capacity planning across the radiologist team.
  • Build and maintain KPI dashboards or reporting tools that give leadership clear, up-to-date visibility into team performance, productivity benchmarks, and coverage metrics.
  • Present KPI summaries and trend analysis to the Director of Radiologist Operations on a defined schedule; proactively flag performance variances or operational risks that require attention.


Credentialing & Compliance

  • Maintain a complete and current record of each radiologist's board certification, licensure, and any other required credentials, including expiration dates and renewal timelines.
  • Proactively monitor credential expiration dates and issue advance notice to radiologists and leadership well ahead of renewal deadlines to ensure no lapse in active certification.
  • Ensure no radiologist is scheduled for active shifts with lapsed or expired credentials; escalate any compliance risk to leadership immediately.
  • Maintain organized, audit-ready credentialing files for all active and inactive radiologists in accordance with VCR's record-keeping requirements.


Radiologist Relations & Team Management

  • Serve as the day-to-day operational manager for VCR's radiologist team, fostering a positive and professional working relationship with each team member.
  • Communicate schedule updates, policy changes, and operational announcements to the radiologist team in a clear, timely, and professional manner.
  • Support the onboarding of new radiologists, including orientation to scheduling systems, shift expectations, and productivity tracking processes.
  • Act as a liaison between the radiologist team and internal departments, escalating operational issues, performance concerns, or resource needs to leadership as appropriate.
  • Monitor and support adherence to VCR's turnaround time guarantees, escalating coverage or capacity issues that may put service commitments at risk.

Qualifications, Education, and Experience

  • 10+ years of experience in workforce management, resource scheduling, or operations coordination; experience managing remote or globally distributed teams strongly preferred.
  • Demonstrated experience building and managing 24/7 coverage schedules across multiple time zones; experience in healthcare, teleradiology, or a similarly time-sensitive service environment a strong plus.
  • Strong proficiency with scheduling tools, workforce management platforms, and spreadsheet-based tracking.

  • Exceptional organizational skills with a high degree of accuracy; able to manage complex scheduling matrices and detailed tracking data simultaneously without errors.
