ROLE SUMMARY

Open Door Investment Management Ltd is an SEC-registered investment adviser specialising in China A-shares active equity strategies, serving institutional and professional investors globally. We seek a Client Service & Operations Associate to act as a primary relationship contact for our investors and consultants while taking hands-on responsibility for core fund operations. This is a client-facing service role with a genuine operational remit: the successful candidate will combine excellent interpersonal and written communication skills with the practical ability to operate custodian and fund administrator platforms, perform reconciliation, and process corporate actions — coordinating across internal and external stakeholders to deliver a consistently high standard of investor experience.

KEY RESPONSIBILITIES

A. Client Service & Investor Relations

  1. Manage investor onboarding as the client's guide through the process — coordinating KYC/AML documentation and handling subscription/redemption queries with a service-first approach.
  2. Draft and coordinate high-quality responses to RFPs, RFIs, and DDQs from prospective and existing investors, tailoring content and tone to the audience.
  3. Respond promptly, clearly, and professionally to investor queries, coordinating internally to resolve issues and keep clients informed.
  4. Prepare and maintain fund data templates, including FactSheets and consultant database submissions, ensuring accuracy and timeliness of investor-facing data.
  5. Proactively anticipate client needs, capture feedback, and represent the investor's perspective internally.

B. Fund Marketing & Distribution Materials

  1. Produce institutional-quality marketing materials — pitch decks, fund presentations, and investor update packs — to a high PowerPoint standard, with clear and compelling messaging.
  2. Ensure all materials comply with the SEC Marketing Rule (Rule 206(4)-1), including performance presentation standards, testimonial requirements, and third-party rating restrictions.
  3. Coordinate internal compliance review and sign-off of all marketing and investor materials prior to distribution.

C. Distribution Compliance & Regulatory Awareness

  1. Maintain a working knowledge of the SEC Marketing Rule (Rule 206(4)-1) and Investment Advisers Act requirements applicable to fund marketing and client communications.
  2. Support Form ADV Part 2A maintenance and the SEC compliance calendar, working closely with the Compliance Officer.
  3. Monitor SEC regulatory updates affecting investment adviser marketing, distribution, and client disclosure obligations, and reflect them in client communications.

D. Fund Operations

  1. Operate custodian and fund administrator platforms confidently for day-to-day reconciliation, reporting, and instruction workflows.
  2. Perform cash and portfolio reconciliation across broker, custodian, and fund administrator records, investigating and resolving breaks.
  3. Monitor and process corporate actions affecting fund holdings, and coordinate elections with custodian and broker.
  4. Oversee trade settlement and escalate breaks or fails in a timely manner.
  5. Liaise with the fund administrator, custodian, transfer agent, and prime broker on all operational matters, and translate operational detail into clear client updates.

CANDIDATE REQUIREMENTS

Essential

  1. Minimum 3–5 years in a client-facing role within investment management, fund operations, or asset management client service / investor relations.
  2. Excellent written and verbal communication skills, with the ability to explain complex information clearly and represent the firm credibly to institutional investors.
  3. Strong interpersonal and relationship-management skills, with a service-oriented mindset and the confidence to be a front-line point of contact.
  4. Demonstrable RFP/DDQ writing experience for institutional investors.
  5. Advanced PowerPoint skills; ability to produce board- and investor-quality presentations independently.
  6. Well organised and responsive, able to manage multiple client requests and deadlines simultaneously with strong attention to detail.
  7. Hands-on experience performing cash and portfolio reconciliation and processing corporate actions.
  8. Confident operating custodian and fund administrator platforms; familiarity with NAV and trade settlement processes.
  9. Knowledge of the SEC Marketing Rule (Rule 206(4)-1) and US investment adviser regulatory requirements.

Preferred

  1. Prior experience as a named or day-to-day contact for institutional allocators, consultants, or intermediaries.
  2. Exposure to China A-shares, Stock Connect, or Asia-Pacific equity strategies.
  3. Familiarity with Bloomberg or fund administration platforms.
  4. Experience supporting Form ADV Part 2A updates and the SEC compliance calendar.
  5. CFA, CAIA, or CIMA qualification (or equivalent progress).
