Job description

Position Summary:

The Volunteer Services Coordinator II serves as an experienced member of the Volunteer Services Team, taking a lead role in volunteer recruitment, orientation, placement, recognition, and database management. This position provides guidance to Volunteer Services office volunteers/interns, manages more complex volunteer program needs, and supports cross department collaboration to meet organizational goals for service, efficiency, and volunteer engagement.  This role includes occasional evening and weekend hours to support special events and business needs.

Key Responsibilities:

Volunteer Recruitment, Engagement & Leadership

  • Lead volunteer recruitment and stewardship for Mobile Distributions.
  • Independently recruit, orient, and place individual and group volunteers across all CFB programs and events.
  • Lead weekly volunteer tours, orientation sessions, and follow up engagement processes.
  • Greet and engage large volunteer groups; act as the primary liaison with department supervisors to ensure smooth group experiences.
  • Lead volunteer recognition efforts, including developing acknowledgment practices and implementing recognition strategies.
  • Provide guidance, coaching, and informal mentorship to interns, office volunteers, and new team members.
  • Provide support coverage for evening and Saturday volunteer activities as assigned.
  • Support volunteer recognition efforts including card signing, distributing small gifts, and other directed activities.                                   

Scheduling & Operational Coordination

  • Manage high volume volunteer inquiries with professionalism and strong customer service.
  • Coordinate with multiple departments to maintain and update a full, accurate, and dynamic volunteer schedule.
  • Administer CSV volunteer programs by ensuring compliance with documentation requirements, hours tracking, and timely completion reporting.
  • Support or lead cross departmental meetings to identify volunteer needs and develop coordinated solutions.

Data Management, Compliance & Reporting

  • Maintain, audit, and update volunteer database records to ensure accuracy and compliance.
  • Troubleshoot database issues and provide user training for staff and volunteers.
  • Produce reports, summaries, or data insights to support program needs and decision making.
  • Uphold confidentiality and data integrity standards in line with organizational policies.

Administrative Support & Special Projects

  • Assist with planning and coordinating special volunteer events, celebrations, and recognition activities.
  • Provide advanced administrative and logistical support to the Volunteer Services Team.
  • Participate in continuous improvement efforts to enhance volunteer processes, tools, and engagement strategies.

Minimum Qualifications:

  • High school diploma or equivalent.
  • 2-3 years of volunteer coordination, program support, community engagement, or related experience.
  • Demonstrated experience in a fast paced, complex environment.
  • Strong proficiency with Microsoft Office Suite, volunteer database platforms, and Office 365.
  • Valid Arizona Driver's License with a clean driving record; ability to travel to CFB locations.

Preferred Qualifications:

  • 3+ years volunteer coordination experience or nonprofit sector involvement.
  • Experience leading volunteer groups or onboarding volunteers.
  • Bilingual English/Spanish.

Skills & Knowledge

  • Ability to independently troubleshoot database and scheduling system issues and train others on system use.
  • Skilled in managing large volumes of data, documentation, and volunteer records with high accuracy.
  • Advanced verbal and written communication skills, including facilitation of group orientations and meetings.
