Overview

US Conec is seeking a detail-oriented Trade Show Specialist to lead the planning, coordination, and execution of domestic and international trade shows that support our global marketing and commercial objectives. This role partners closely with marketing, sales, product management, operations, external vendors, and event organizers to deliver professional, on-brand event experiences that drive customer engagement and business growth.

Responsibilities
  • Coordinate all aspects of domestic and international trade show participation, including booth reservations, contracts, timelines, exhibitor registrations, required documentation, and event schedules.
  • Manage trade show logistics from planning through execution, ensuring events are delivered on time, within budget, and aligned with company branding standards.
  • Collaborate with exhibit houses, vendors, and internal stakeholders to support booth design, layout development, graphics, furnishings, and overall booth readiness.
  • Coordinate product samples, demonstrations, displays, marketing collateral, signage, and event supplies to meet event and shipping deadlines.
  • Manage domestic and international freight logistics, including carrier coordination, freight forwarding, shipping documentation, customs paperwork, bills of lading, and packing requirements.
  • Develop and distribute detailed trade show plans, event communications, and presentations for participating employees.
  • Facilitate pre-event meetings to align teams on event goals, schedules, booth operations, and customer engagement strategies.
  • Maintain and update trade show website content, exhibitor portals, company profiles, product information, and promotional materials.
  • Partner with the marketing team to support pre- and post-event promotions, including email campaigns, web content, social media initiatives, advertising, and event communications.
  • Coordinate hotel accommodations, room blocks, attendee logistics, and travel-related communications for trade show participants.
  • Provide on-site event support, including booth setup and teardown coordination, vendor management, troubleshooting, and overall event execution.
  • Assist with post-event reporting, expense reconciliation, event evaluations, and recommendations for continuous improvement.
  • Coordinate promotional products and branded apparel to support trade show and marketing initiatives.
  • Track event budgets, forecast expenses, manage invoices, process payments, and monitor spending against approved budgets.
  • Build and maintain strong relationships with trade show organizers, freight providers, exhibit partners, hotels, contractors, and other event vendors.
  • Support additional marketing projects, customer engagement initiatives, product launches, and commercial programs as needed.
Must Haves
  • Bachelor's degree in Marketing, Communications, Event Management, Business, or a related field, or equivalent relevant experience.
  • Minimum of 2 years of experience in trade show coordination, event management, marketing coordination, project coordination, or a related field.
  • Experience managing event logistics, vendors, budgets, contracts, and project timelines.
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to effectively collaborate across cross-functional teams and work independently when needed.
  • Ability to manage budgets and maintain compliance with company processes and brand standards.
  • Willingness and ability to travel up to 10% domestically and internationally.
Nice to Haves
  • Experience supporting trade shows within a B2B, manufacturing, technology, engineering, or technical environment.
  • Experience coordinating international events and global trade show programs.
  • Knowledge of freight forwarding, customs documentation, export processes, and international shipping requirements.
