Job description

The Sports Operations Intern will assist in the frontline execution, guest relations, and logistical delivery of all summer camps, leagues, tournaments, and open-play events within the Sports at WEC portfolio.
This role is designed to provide an immersive, hands-on experience in high-volume sports venue management, database coordination, and elite guest service execution within a world-class resort environment.
Key Responsibilities
Logistics, Physical Staging & Match-Day Field Ops
• On-Field Match Day Ops: Lead the physical staging, setup, and teardown of all match-day field configurations, including the manual transportation, positioning, and anchoring of goals, player benches, corner flags, and field dividing systems.
• High-Velocity Changeovers: Execute time-sensitive field and court transitions between staggered tournament flights, ensuring immediate refuse clearing, equipment resets, and venue readiness parameters are met without disrupting event schedules.
• Equipment Inventory & Asset Tagging: Own the physical auditing, organizational tagging, and digital logging of all division athletic assets (including training gear, specialized goals, and tournament hardware) into the inventory tracking database.
• Pre-Event Safety Audits: Conduct meticulous pre-match facility walkthroughs across the outdoor field clusters and indoor footprints to guarantee equipment integrity, perimeter security, and safety protocols meet property standards.
• Support Partner Coordination: Coordinate directly with internal campus support partners (Facilities, Janitorial, Security, and F&B) based on pre-approved operational notification triggers and thresholds.
Frontline Event Delivery & Camp Operations
• Execute daily tournament and camp operations, including participant check-ins, credential distribution, and roster verification.
• Support summer day camp tracks, assisting with morning drop-offs, on-field logistics, and policy compliance enforcement.
• Serve as a visible, proactive guest relations point of contact at entry gates, information hubs, and spectator spaces to ensure an elite property experience.
Communications, Database & Inbox Management
• Serve as the primary administrative manager of the general sports division inquiry inbox, ensuring a high-velocity response tempo.
• Own the initial vetting, sorting, and routing of all incoming communications from prospective tournament organizers, local leagues, and field use requests.
• Utilize Bond, Stripe, and Sigma platform systems to review basic registration reports, track open-play pass holder usage, and troubleshoot basic front-facing transaction issues.
• Respond directly to routine, standardized inquiries regarding field availability, camp schedules, and general operational policies utilizing pre-approved templates.
• Escalate high-value business development opportunities or complex multi-field logistics requests directly to Sports Operations leadership.
Qualifications
• Education & Experience: Current enrollment in, or recent graduation from, an accredited undergraduate or graduate program in Sport Management, Business Administration, Hospitality, or a related field. Prior experience in campus recreation, youth camp operations, athletic event hosting, or volunteer tournament execution is preferred.
• Technical Knowledge & Skills: High-level familiarity with multi-sport rules and basic dimensions (specifically soccer, flag football, or field sports). Demonstrated capacity to learn sports software systems (such as Bond and Sigma) for basic data tracking and roster verification.
• Certifications: Current First Aid/CPR/AED certification is preferred but not required. Candidates must be willing to participate in campus safety and emergency protocol training upon onboarding.
• Execution Style: High operational initiative paired with a meticulous eye for facility presentation details. Strong practical problem-solving capabilities with a proactive, team-first approach when dealing with tight tournament changeover windows.
• Physical & Working Conditions: Must be physically capable of regularly lifting and moving athletic equipment up to 50 pounds waist-high, standing or walking for extended periods, and comfortably working outdoors in high heat or varying Florida weather conditions across a large complex.
• Schedule Flexibility: Absolute requirement to work a highly flexible weekend, evening, and holiday schedule to provide hands-on operational coverage during peak tournament and summer camp execution windows.
