Job description

The Assistant / Junior Sales Project Manager supports the Oklahoma City showroom’s sales and project management team in delivering an exceptional client experience from initial inquiry through order completion. This position is ideal for an organized, detail-oriented individual who is interested in luxury architectural products, interior design, plumbing, hardware, lighting, and high-end residential construction.

Working closely with Sales Project Managers, designers, architects, builders, showroom staff, vendors, and clients, the Assistant / Junior Sales Project Manager will assist with product selections, quotations, order entry, project documentation, follow-up, and client communication.

As experience and product knowledge develop, this position will assume increasing responsibility for managing projects and client relationships independently.


Essential Responsibilities

  • Sales & Client Support
  • Assist Sales Project Managers with day-to-day management of client projects and accounts.
  • Respond to client inquiries professionally, promptly, and accurately.
  • Assist designers, architects, builders, contractors, and homeowners with product information, availability, pricing, and order status.
  • Develop strong working knowledge of Alexander Marchant’s product offerings, brands, specifications, finishes, and applications.
  • Support showroom appointments, product presentations, and client meetings as needed.
  • Develop professional relationships with trade clients and become a trusted resource for product and project information.
  • Identify opportunities to introduce clients to complementary products and categories.


Project Management

  • Assist with projects from initial quotation through order placement, fulfillment, and final invoicing.
  • Prepare and maintain accurate quotations, sales orders, purchase orders, and project documentation.
  • Review orders carefully for quantities, finishes, specifications, pricing, and other pertinent details before submission.
  • Track order status, lead times, backorders, shipping, and expected delivery dates.
  • Follow up with vendors and internal departments to resolve questions, delays, discrepancies, or product issues.
  • Maintain organized and current project files and client records.
  • Communicate project updates to clients and sales team members in a timely manner.
  • Assist with coordinating special orders, samples, returns, replacements, and warranty-related issues.
  • Learn and follow Alexander Marchant’s established procedures for order entry, purchasing, invoicing, and project management.


Administrative Responsibilities

  • Enter and maintain accurate information within company systems.
  • Assist with preparing quotes, order confirmations, invoices, and other project-related documentation.
  • Monitor open orders and outstanding project items.
  • Assist with maintaining accurate customer account and contact information.
  • Provide timely follow-up on open proposals and pending client decisions.
  • Help ensure all project documentation is complete, accurate, and properly communicated internally.
  • Work closely with purchasing, project management, warehouse, accounting, and showroom teams to ensure a seamless customer experience.


Showroom & Team Support

  • Maintain a polished, organized, and professional showroom environment.
  • Assist with showroom product displays, samples, literature, and product organization.
  • Participate in product training, vendor presentations, showroom meetings, and company events.
  • Support showroom events and trade-focused activities.
  • Collaborate with team members to ensure clients receive consistent and exceptional service.
  • Represent Alexander Marchant professionally at all times.


Qualifications

  • 1–3 years of experience in sales, customer service, project coordination, interior design, architecture, construction, luxury retail, or a related field preferred.
  • Interest in luxury interiors, architectural products, design, and the residential construction industry.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Professional, polished, and service-oriented demeanor.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Strong follow-up skills and a willingness to take ownership of assigned responsibilities.
  • Comfortable learning product specifications, technical information, pricing structures, and software systems.
  • Proficiency with Microsoft Office; experience with CRM, ERP, QuickBooks, or project management systems is a plus.
  • Ability to work collaboratively while also taking initiative and working independently.
  • Previous experience working with designers, architects, builders, contractors, or high-end residential clients is a plus.
