The impact you'll make
The Occupancy Planner will support space planning and management activities for the Phoenix, Arizona campus.
You will be a part of our on-site Occupancy and Space Planning team and will be responsible for space planning, programming, and partnering with Business Units in developing occupancy plans and analyses. This role will also manage incoming workorders for furniture, moves and new hire requests, ensuring timely review, follow-up, and communication with business partners and vendors. The Occupancy Planner supports the broader occupancy planning team to ensure effective and consistent service delivery across all space planning needs.
What you'll do
  • Build and maintain strong relationships with BU customers to provide excellent customer service
  • Gather programming requirements to develop project scope, schedule, and budget on office reconfigurations, move, and tenant improvement projects
  • Provide design layouts of new and existing office space and furniture as needed for move and tenant improvement projects
  • Conduct building audits to verify that employee locations, furniture layout and room configurations are correctly noted on floor plans
  • Schedules moves / new hire requests with alignment from space planning team, customer and in conformance to office space policy.
  • Working with MAC coordinator and furniture vendors to develop move plans with space assignments, occupancy plans, and furniture reconfiguration requirements
  • Manages relocations including the development and execution of project planning activities, timing of group moves/relocations, and final relocations
  • Assist Strategic Occupancy Planner in presenting and negotiating with business units to implement plans aligned with corporate guidelines, including scenarios to optimize use of space while meeting business requirement

Who we're looking for
  • Bachelor's degree in related discipline (i.e. architecture, interior design, Corporate Real Estate & Facilities Management planning/coordination, facilities, project or construction management etc.), with 5 years of related experience; or 3 years and a Master's degree; or a PhD without experience; or equivalent work experience.
  • Demonstrated work experience in Move Management, Furniture Project Management, Space Planning, or Interior Architecture.
  • Strong spatial skills with experience in the implementation of workplace strategies and the ability to translate business requirements into space requirements for the business units.
  • Basic knowledge of building codes; ability to inspect and determine the feasibility of renovation of existing structures; knowledge of related state and federal regulations and statutes.
  • General knowledge of system furniture design and modular furniture while demonstrating knowledge and adherence to building regulations and health safety guidelines.
  • Some project management experience as it relates to space planning and move migrations.
  • Proficiency with an IWMS/CAFM system, Tririga.
  • Proficiency with CAD
  • Strong Microsoft Excel and PowerPoint capabilities
  • Ability to perform real estate and space related data analysis.
  • Works well and respectfully with people at all levels with a demonstrated team player and collaborative attitude and approach
  • Ability to work autonomously while directing others as needed and informing group as decisions are made
  • Willingness to be proactive and take ownership of requests; prioritize workload and schedule to meet deadlines accordingly
  • Ability to collaborate, problem solve and multi-task, and adapt to change when necessary
  • Minimal travel within the US.
