Job description

Marketing & Social Media Specialist

Location: Hybrid (McMinnville, OR and Remote)

Reports To: Marketing Director

FLSA Status: Exempt

Worker Category: Full-Time

Summary

Pioneer Millworks is seeking a Marketing & Social Media Specialist to bring consistency, creativity, and organization to our marketing execution. This role is ideal for someone who is highly organized, visually minded, detail-oriented, and enjoys turning ideas into well-executed marketing campaigns.

Working closely with the Marketing Director, you'll help plan and execute our marketing and social media content calendar while supporting campaigns, product launches, email marketing, website updates, events, and day-to-day marketing operations.

Responsibilities include content coordination, social media management, creative coordination, content gathering, marketing operations, and launch support.

You will collaborate with our external creative partner (Design Pickle), but this is not a graphic design position. Success depends on strong organization, communication, project coordination, and an eye for quality creative work, rather than producing final marketing assets.

About Pioneer Millworks

Pioneer Millworks manufactures and sells sustainable and reclaimed wood products, including flooring, paneling, siding, decking, and related materials. We serve architects, interior designers, builders, developers, homeowners, and select commercial and hospitality markets.

Our brand is built on craftsmanship, sustainability with proof, expertise in reclaimed and sustainable wood, American manufacturing, employee ownership, and the belief that materials should have both substance and story. We strive to be a thoughtful, premium, values-driven material partner.

What You'll Do

Social media and content calendar execution

  • Partner with the Marketing Director to plan and execute PMW's marketing and social media content calendar
  • Schedule and publish content through HubSpot and other marketing platforms
  • Maintain a consistent and organized publishing cadence across social channels
  • Coordinate content themes, deadlines, approvals, and publishing schedules
  • Ensure content aligns with campaigns, product priorities, launches, seasonal initiatives, and company goals
  • Monitor social media performance and share insights that help improve future content

Content gathering and visual storytelling

  • Photograph products, people, projects, manufacturing processes, and company events when needed
  • Gather and organize photography, video, and project assets from internal teams, customers, partners, photographers, and other external sources
  • Maintain a well-organized library of marketing assets
  • Identify opportunities to tell compelling stories through projects, launches, customer success stories, employee highlights, and product features
  • Assist with caption writing, content packaging, and preparing assets for publication

Creative coordination

  • Coordinate creative requests with our external design partner (Design Pickle)
  • Develop clear creative briefs and gather project requirements
  • Review creative deliverables for accuracy, brand consistency, messaging, and quality
  • Coordinate revisions, approvals, and production timelines
  • Help ensure creative assets are organized and ready for campaigns, product launches, email marketing, social media, and sales support materials

Community management and communication support

  • Monitor social media comments, messages, and engagement across platforms
  • Respond when appropriate and route inquiries to the appropriate internal teams
  • Help ensure timely, thoughtful communication with customers, partners, and prospects
  • Identify recurring questions, trends, or opportunities that should be shared internally

Marketing coordination and execution support

  • Assist with email production, content preparation, and campaign execution
  • Support website content updates through our CMS
  • Help prepare for trade shows, events, and marketing initiatives
  • Support product launches through internal coordination and asset readiness
  • Coordinate marketing projects, timelines, checklists, and follow-up activities
  • Work with internal stakeholders and external partners to keep marketing initiatives moving forward
  • Help maintain accurate, organized, and up-to-date marketing materials and content libraries

What Success Looks Like

  • After your first year, you'll have helped create a more consistent, organized, and effective marketing function. Success in this role means:
  • PMW maintains a consistent, engaging social media presence that reflects the quality of our brand
  • Content is planned, approved, and published on schedule
  • Creative projects move efficiently from concept through final delivery
  • Marketing assets are well organized, easy to locate, and effectively utilized
  • Social media inquiries are monitored and handled professionally
  • Product launches, campaigns, and events are well coordinated and executed
  • The marketing team operates more efficiently through strong project coordination and follow-through
  • Internal teams can rely on marketing materials being accurate, current, and readily available

Qualifications

Required

  • 2 to 4 years of experience in social media, content marketing, marketing coordination, or a related marketing role
  • Experience planning or implementing a social media content calendar for a brand or business
  • Experience scheduling content and managing workflows in HubSpot or a similar marketing platform
  • Excellent written and verbal communication skills
  • Exceptional organizational skills with strong attention to detail
  • Ability to manage multiple projects and deadlines simultaneously
  • Confidence working independently while collaborating effectively across departments
  • Ability to gather, organize, review, and coordinate visual content

Preferred

  • Experience working with graphic designers, creative agencies, or external creative partners
  • Experience with content management systems and website content updates
  • Experience supporting email marketing campaigns
  • Experience coordinating product launches or marketing campaigns
  • Experience supporting events or trade shows
  • Photography, videography, or content capture experience
  • Experience in architecture, interior design, building products, manufacturing, construction, or a related industry

Technical Skills

  • Experience with HubSpot, WordPress (or similar CMS), Microsoft 365, and social media management tools preferred
  • Familiarity with Adobe Creative Suite sufficient to review creative files, provide feedback, make minor edits, and collaborate with designers. Advanced graphic design skills are not required.

Traits We're Looking For
