Job description

Position / Title: Elementary School Secretary B Bargaining Unit:    DUSA Department/Location: Elementary Schools Instruction & Equity Work Days: 211 Reports To: Building Principal JD Revision Date: 05/22/2023 Supervises: N/A

Function / Position Summary
Organize and maintain safe school operations through office assistance, communications and directed procedures. Provide office support to instructional and administrative personnel to ensure organized and efficient operations within the school. Process requests for photocopying of classroom material with accuracy and timely delivery. Maintain confidentiality of student/staff information in the school and community. 
Job Duties / Responsibilities


  • Answer the main phone line and take messages or transfer calls to the appropriate extension.
  • Maintain office/building supply inventory to ensure proper on-hand stock.
  • Process materials (photocopies, scanning, collation, lamination, etc.) within requested time lines or as assigned.
  • Manage/assist with attendance.
  • File information and confidential material in student files.
  • Receive, sort, and distribute incoming mail, documents, and correspondence.
  • Register new students and attend registration events (as needed)
  • Accurately enter computer data.
  • May coordinate the workflow of inquiries and incoming work order requests.
  • Assist with confidential student cumulative files as requested.
  • Assist with sick or injured children as requested.
  • Assist with checking in visitors with the security software.
  • Other duties as assigned.

Education

  • High School diploma or equivalent required.

Experience / Knowledge

  • Previous office, clerical or support staff experience in a school setting preferred.
  • Bilingual Spanish/English written/verbal preferred.

Physical Demands

  • Ability to work on a computer/telephone over the major portion of the day.
  • Ability to lift up to 25 pounds.

SECRETARIAL CLASSIFICATION CRITERIA
(As defined in the 2022-2026 Agreement between District U-46 Secretarial Association and the Board of Education)
Classification A (Proficiently demonstrates all criteria listed)

  • Perform reception duties
  • Perform student attendance duties
  • Utilize excellent written and verbal communication skills (parents, staff and students)
  • Responsible for tracking and balancing building/department expenditures (if applicable)
  • Working knowledge of computer program Word and Excel
  • Willingness to learn and become proficient in advanced applications and specialized computer programs (Mail Merge, Student Information Systems, Business Portal, etc.)

Terms of Employment

  • This is a 10 month position.
  • Salary and benefits as established by the Board of Education and set forth in the collective bargaining agreement as applicable.
  • The starting rate is $16.31.Â
