Job description

The Seasonal Resource Coordinator supports the Resource Associate team within Planning & Business Support by assisting with the administrative, onboarding, payroll, compliance, and recruitment needs of the department. This role is performed alongside the Resource Associates to help ensure workforce processes are completed accurately, efficiently, and on time.

The position plays an important part in supporting new hire onboarding, maintaining accurate records, assisting with timekeeping and attendance processes, and helping the department respond to day-to-day operational needs. This role will also help bring a fresh perspective to current administrative and workforce processes, identifying opportunities to improve efficiency, organization, and consistency across the Resource Associate function.


Key Responsibilities:

  • Support onboarding processes for new and returning team members, helping to ensure a smooth and positive start.
  • Assist with the coordination and delivery of orientation, induction, and other onboarding-related sessions.
  • Lead or support orientation content in a clear, engaging, and professional manner.
  • Act as a point of contact for new hires during the onboarding process, answering questions and helping guide them through required steps.
  • Help collect, review, and track onboarding documentation, including employment paperwork and I-9 follow-up, to support compliance and readiness.
  • Support the coordination of onboarding materials, documentation, and related administrative tasks.
  • Review hourly timecards daily and monitor for missed punches, pay-related discrepancies, and compliance concerns, including meal and minor rule compliance in accordance with New York State and federal law.
  • Maintain accurate payroll-related records and follow up on outstanding punches, flags, or corrections to support accurate payroll processing.
  • Submit payroll adjustments as needed.
  • Support attendance and timekeeping processes by preparing documentation and assisting with follow-up related to time and attendance concerns.
  • Help ensure employee timekeeping records are accurate, complete, and reconciled in a timely manner.
  • Assist the Resource Associate team with day-to-day administrative needs across onboarding, payroll, compliance, and workforce tracking.
  • Maintain accurate and organized records, logs, and trackers for departmental processes.
  • Support departmental compliance and documentation needs by ensuring records are maintained accurately and in a timely manner.
  • Help reconcile documents, records, and supporting paperwork to ensure information is complete, up to date, and aligned across processes.
  • Maintain confidentiality and accuracy when handling employee information and department records.
  • Provide general administrative support across the planning and business function as business needs require.

Experience and qualifications

  • Previous experience in an HR, administrative, or resource coordination role (preferred).
  • Familiarity with onboarding, hiring support, timekeeping, or employee record management preferred.
  • Knowledge of Microsoft 365, including Outlook, Excel, and Teams, preferred.
  • Proven methods of streamlining procedures and SOPs
  • Experience identifying workflow improvements, streamlining administrative processes, or supporting SOP development is preferred.
