Job description

Our client, a DOD contractor, is hiring a full-time Executive Assistant for their Columbia, MD headquarters. The Executive Assistant plays a crucial role in supporting a Vice President, Senior Vice President, or other senior leaders by providing proactive administrative assistance and high-level organizational skills. This position serves as an informed extension of the executive's office, ensuring smooth operations and an efficient workflow.


Key Responsibilities:

  • Calendar Management: Optimize complex daily and long-range calendars, anticipate conflicts, and coordinate resolutions.
  • Meeting Preparation: Equip executives for meetings with clear objectives, agendas, and necessary materials.
  • Travel Coordination: Manage domestic and international travel arrangements, including real-time adjustments.
  • Expense Reporting: Prepare and track accurate expense reports in line with company policies.
  • Event Planning: Organize logistics for leadership meetings, customer visits, and company events.
  • Communication: Draft, proofread, and coordinate correspondence and presentations while maintaining confidentiality.
  • Information Management: Maintain systems for tracking decisions and commitments, ensuring effective follow-through.
  • Liaison Role: Serve as a professional contact for executives, customers, and board members.
  • Technology Utilization: Use Microsoft 365 and other tools to enhance efficiency in executive support tasks.
  • Discretion and Judgment: Handle sensitive information with exceptional discretion.
  • Cultural Alignment: Support company culture, values, and compliance in all actions.

Qualifications:

  • Education: Bachelor's degree preferred; equivalent experience considered.
  • Experience: 5+ years in executive support, ideally for senior leaders in complex environments.
  • Skills:

  • Independent problem-solving and systems improvement.
  • Exceptional judgment in sensitive matters.
