The Role
Event Specialist, under general supervision of the Event & Security Manager, will be responsible for assisting in the coordination and management of all assigned events at the Coliseo de Puerto Rico. The incumbent will work with all Coliseo de Puerto Rico departments in coordinating communication between promoters and event staff to ensure successful execution of all Coliseo de Puerto Rico events.
Essential Duties and Responsibilities
  • Assist with the events deployment.
  • Work with Event Supervisors and Security staff in managing large crowds under constantly changing event environments.
  • Have a full working understanding of the specific event post (i.e., ticket takers, ushers, concierges, security, crowd control, door screeners and guest relations) and possess the ability to communicate with manager/supervisor. Anticipate problems and appropriate solutions.
  • Identify risks or hazardous situations from the physical structure of the building and create safe logistics for the event to continue.
  • Help service all events by using effective written and verbal communication with event promoters, production managers and coliseum departments including third-party contractors.
  • Participate in pre-event production meetings to communicate important event information with all departments and contractors.
  • Assist in advising licenses on services available from independent contractors for events.
  • Coordinate communication between building staff and show staff during load in and load out.
  • Assist other departments in the preparation of building to meet the requirements of upcoming events.
  • Analyze challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectives.
  • Observe employee and crowd behavior before, during and after an event takes place.
  • Represent the company in a polite and professional manner using proper customer service skills.
  • Direct customer service complaints and inquiries to proper manager/supervisor.
  • Abide by facility rules, regulations, policies, and procedures.
  • Maintains the proper image and generates positive public relations with manager/supervisor and staff.
  • Performs other duties as assigned by the Director of Events & Security and the Event & Security Manager.

Supervisory Responsibilities
Assists the Director and Manager of Events in supervising employees in the Events Department. Carries out supervisory responsibilities in accordance with LEGENDS GLOBAL's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Education and/or Experience
  • Bachelor's degree from an accredited college/university with major coursework in facility management, hospitality management, business, or related field.
  • Minimum of two years of increasingly responsible experience in event management in a stadium, arena, convention center or public assembly facility setting.
  • Demonstrated experience working with various concert promoters, sporting teams, and special event meeting planners.
  • Customer service background preferred.

Skills and Abilities
  • Knowledge of human behavior, including crowd management principles, and the ability to implement effective crowd control techniques as necessary.
  • Customer service is a focal point of any position at the Coliseo. Must be able to maintain an effective working relationship with clients, employees, exhibitors, and others encountered in the course of employment.
  • Ability to effectively communicate with co-workers and manager/supervisor.
  • Ability to communicate with and take directions from immediate supervisor and facility management.
  • Possess excellent written, verbal, and interpersonal skills and interacts with all levels of staff, including management.
  • Remain flexible and adjust to situations as they occur.
  • Ability to handle/resolve high tension situations and control "unruly" guests.
  • Excellent problem solving and organizational skills.
  • Work independently, exercising judgment and initiative.
  • Must possess professional presentation, appearance, and work ethic.
  • Ability to work flexible hours based on events, including daytime, evenings, weekends, and holidays as needed.
  • To perform this job successfully, an individual should have basic knowledge in Microsoft Office.
