Job description

Position Summary

The Training Assistant is responsible for clerical and administrative duties related to the delivery of training and organizational development programs. The Training Assistant schedules training events, coordinates with instructors, obtains and distributes required instructional materials, and communicates schedules and details.

Essential Functions of the Position

  • Processes enrollments and answers routine inquiries regarding courses, schedules, and locations.
  • Uses an information system or database to enter data and produce reports on training statistics, inventory levels or assessments of the programs and instructors.
  • Coordinates additional services including technical equipment, meals and refreshments, housekeeping, maintenance, or repairs.
  • Provides support to include: scheduling training, coordinating training with CBP Training Officers, NATC and/or vendor training providers. The Contractor shall also perform required activities to acquire Federal Law Enforcement Training Accreditation (FLETA) for Air and Marine Operations training courses.
  • Provides scheduling support to all CONUS CBP Units for all training requirements.
  • Supports the NATC training program to assist field training officers and agents with training requests, coordination, data requests, reports and sundry administrative issues.
  • Coordinates with vendors, NATC, NMTC, AMOA, unit training officers, trainees, platform coordinators and other organizations requesting training services support to include training logistics support.
  • Completes data entry into any DHS or CBP system as required by AMO – including, but not limited to: PALMS, TRAEN, TOMIS, etc.
  • Schedules and tracks associated costs for each employee training.
  • Develops efficient solutions to meet CBP specified changes to scheduling requirements.
  • Compiles and prepares daily, weekly, monthly and quarterly training schedules/forecasts.
  • Coordinates with NATC, unit training officers, trainees, platform coordinators and other organizations requesting training services support to include training logistics support.
  • Enters training schedule data in OpSTAR. The service will support TSS training programs to assist field training officers and agents with training requests, coordination, data requests, reports and sundry administrative issues.
  • Provides reports that will include detailed training and travel conducted at NATC, NMTC and TSS Leadership.
  • Schedules and tracks associated costs for each employee training.
  • Performs other relevant duties as assigned.

No direct supervisory responsibilities.


Physical Demands

  • Required to walk, stand, sit and move about the property for long periods of time.
  • Ability to lift and/or move up to 50 pounds.

Work Environment

  • Indoor/Outdoor; exposure to external environmental conditions possible.
  • Noise level can range from minimal to intense.

Minimum Qualifications

  • Must have excellent written and verbal communication skills.
  • Must be proficient in using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Must be able to speak, write, read, and understand English.
  • Must be adaptable, flexible, and able to adjust to new or changing instructions.
  • Must be able to multi-task and complete assignments accurately and on time.
  • Must have one (1) year of general work experience.
  • Must be able to use current scheduling tools (OpSTAR) utilized by the CBP Units.
  • Must have a high school diploma or equivalent.
  • Possess a Valid Drivers’ License without special restrictions.

Security Requirements

  • Must be a US Citizen.
  • Secret Security Clearance required.
