SUMMARY OF POSITION
In accordance with the mission and values of The Village of St. Edward, the Lead Receptionist/Secretary is responsible for the overall welcoming and greeting of residents, families, and visitors in person as well as on phone. In addition, they will be responsible for answering or referring inquiries; directing visitors by maintaining employee and department directories and maintain security by following The Village policies and procedures.
QUALIFICATIONS:
  • High school graduate or equivalent preferred
  • Any satisfactory combination of education, training and experience.
  • At least 2 years of experience as a receptionist or administrative assistant in a busy atmosphere
  • Must be able to bend, stoop and reach at different angles
  • Possess the necessary dexterity to operate communication and other office equipment.
  • Walks, sits or stands intermittently throughout the day.
  • Well-lighted, well-ventilated rooms and halls.
  • Must communicate well with residents, families and the public on a personal basis.
  • Required to make independent decisions.
  • Required to handle emergency situations of all types.
  • Must be able to multi-task.
  • Must possess and demonstrate excellent verbal and written communication skills.
  • Must have knowledge of Word, Excel, newsletter/publishing software, and a working knowledge of email.
  • Knowledge of all types of office equipment, e.g. copy machine, fax machine, paging system, postage machine, etc.
  • Strong clerical skills. Excellent filing and excellent organizational skills.
Essential Duties and Responsibilities (not an all-inclusive list):
  • Answers phone lines, to include prompt and accurate transmission of calls and messages.
  • Performs office duties including typing, word processing, copying, filing, distributing incoming mail, preparing outgoing mail and maintaining the necessary office supplies and storage areas.
  • Receives, screens and gives directions to residents, visitors, guests, family members, sales representatives, etc.
  • Reports suspicious persons to administration or supervisor and handles emergencies according to The Village of St. Edward policy and procedure.
  • Ensures compliance of visitor logbook/sign-in procedures and policies.
  • Utilizes office equipment appropriately; to include postage machine, copier, fax, paging system, etc.
  • Maintains copy machine in receptionist area with toner amp; paper, etc.; calls for service when needed.
  • Maintains postage machine and refill when postage is needed. Calls for service when needed.
  • Maintains current list of residents by name and room number and may maintain employee rosters
  • Maintains or assists with the resident transportation schedule/log per location protocols
  • May assist with scheduling of reservations for families/residents
  • Maintains or assists with the Activity logbook for residents to sign up per location protocols
  • Is alert for wandering residents
  • Places resident names on newspapers for disbursement.
  • May assist with meal orders for dining services and reports meal concerns to nursing and dining services.
  • May assist with business office duties which may include collection of resident payments and ensuring processed invoices and resident payments are sent to the fiscal department appropriately and in a timely manner
  • Refer all inquiries concerning the facility to the appropriate Director.
  • May print newsletters and calendars and help assemble newsletters
  • May assist in training of new receptionists
  • May assist with the Sara system, by assigning pendants and other administrative tasks per location protocol.
  • Completes coordination of schedules and coverage for front desk per location protocol.
  • May assist in scheduling of service plan meetings for residents/families per location protocols
  • May provide coverage at both receptionist desks if needed (Fairlawn location only).
  • Performs any other duties that may be regularly or specifically assigned by supervisors.
  • Supports and contributes to excellent customer service to all (staff, residents, families, vendors, etc.)
  • Supports the philosophy of person-centered care (PCC) by actively participating in the person-centered care process. Fosters development and enhancement of person-centered care practices.
