Description

Job Overview:

As a Front Desk / Receiving Associate, you’ll be responsible for working independently, and without direct supervision. Possess strong communication, telephone, and customer service skills.  Be detailed oriented and able to multitask.  Meet and greet residents; checks guests and service providers in/out.  Able to understand and react to emergency response and access control procedures; monitors and operates electronic security control systems; and accurately maintains daily logs, records and forms.

 

Your Responsibilities:  

•           Expectation that they’ll work front desk and operations.

Minimum one year of front desk experience, preferably in a residential building

•           Familiarity with fire alarm panels

•           Basic knowledge of shutting off water to the fire system

•           Basic understanding of shutting off water to individual units

•           Bilingual (English/Spanish) preferred

            Ability to remain professional and firm when enforcing building policies

•           Limited cellphone use while assigned to the front desk

•           Computer literacy, including the ability to prepare incident reports using a web browser or Microsoft Word

•           Basic Excel knowledge, such as opening files and searching for information

•           Dependable and flexible, including the ability to remain on duty if relief is delayed until a    arrives

•           Dress code is all black until uniforms are purchased by the building

•           Stand each time a person comes to the desk

Receiving Responsibilities:

  • Ensures that the receiving area office is never left unattended/unlocked.
  • Never permits the receiving area to be blocked.
  • Schedules freight elevator for residents moving in and out advance adhering to Association Policy.
  • Registers all deliveries and packages (i.e. Fed Ex, UPS, DHL, registered mail).
  • Reports all problems to the supervisor, including problems outside of scope of responsibility.
  • Issues parking passes to all approved vehicles.
  • Registers and distributes ID passes to all contractors.
  • Monitors the coming and going of service contractors and building repair and maintenance contractors through logs.
  • Completes required reports.
  • Requisitions materials, tools, and supplies needed for the job.
  • Ensures all safety precautions are followed while performing work.
  • Maintains a safe work area.
  • Other duties as required.

 

Skills & Qualifications:

  • High school diploma or equivalency preferred.
  • College level courses in business or hospitality preferred.
  • Two (2) to three (3) years of business experience preferred.  
  • Computer literacy: command of information system hardware/software is preferred.  
  • Effective written and verbal communication skills.   
  • Multiple language fluency is desirable.  
  • Strong customer service, communication and interpersonal skills required.   

 

Physical Requirements:

  • Ability to lift 30 – 50 lbs.
  • Work in an upright standing or sitting position for long periods of time.
  • Handle, finger, grasp and lift objects and packages.
  • Reach with hands and arms.
  • Communicate, receive, and exchange ideas and information by means of the spoken and written word.
  • Ability to quickly and easily navigate the property/building as required to meet the job functions
  • Complete all required forms.
  • Ability to work extended hours and weekends based on project requirements.
  • Ability to respond to emergencies in a timely manner.

Schedule:  Front Desk - Monday and Tuesday 11:00 PM-7:00 AM to Receiving Office  -Sat-Sun 11:00 AM to 8:00 PM
