Job description


Summary of Essential Functions
  • Manages routine and detailed secretarial and coordination functions within the department.
  • Maintains files and reports in proper order.
  • Meets deadlines with prompt, thorough approach, with ability to prioritize various requests and complete duties as required.
  • Performs a wide variety of typing and data entry assignments that are often confidential in nature.

Educational Requirements
  • High School Diploma or equivalent.
  • Must be able to communicate effectively in English, both verbally and in writing.

License/Certifications
  • CPI preferred

Knowledge/Skills/Abilities:
  • Previous secretarial experience in a hospital setting preferred.
  • Ability to follow through on projects for timeliness, completeness and serviceability.
  • Ability to communicate effectively and courteously with medical and technical personnel.
  • Demonstrate patience, tact, diplomacy and persistence in daily contact with patients, physicians and their staff, visitors, and all hospital personnel.
  • Ability to demonstrate proficiency in use and application of all electronic tools
  • Understand and comprehend basic medical terminology.
  • Must be able to prioritize work according to written or verbal instructions using organizational skills and sound judgment.
  • Ability to type sixty (60) wpm for computer data entry ensuring correct spelling and grammar.

Physical Requirements
  • Requires prolonged sitting at workstation; moderate walking.
  • Requires ability to lift various weights frequently; perform moderately difficult manipulative and hand-eye coordination skills; see objects closely; and hear normal sounds with some background noises.
  • Subject to electrical, radiation and biohazards.
  • Working under stressful conditions and working irregular hours.

Duties and Responsibilities
  • Understands systems analysis and design, operational processes, data management techniques, reporting tools and methods. Demonstrates ability to see a project or assignment to completion, accepting responsibility for all aspects of the project. Consistently attends meetings
  • Coordinates all activities in preparation of department correspondence to facilitate ongoing communication and department activities. Handles correspondence as required and/or requested by the director including monthly reports external and internal.
  • Coordinates department meetings; records, types and files minutes as deemed necessary. Assists with the collection of data for dashboard, readmissions and delays. Facilitates and distributes facility dashboards to be presented to post acute agencies.
  • Works with case managers and social work to assure utilization data and stats are correct and completed on time. Assists in delivery of required document delivery to patients and/ or patient designee including but not limited to MOT's, IMM's .Assists electronic transition of CME's for the mental health court.
  • Schedules follow up appointments for patients as determined by compiled reports. Documents according to process for electronic medical record.
  • Assists in meaningful use transitions by signing up patients for the patient portal.
  • Uses interpersonal skills which convey a positive and supportive attitude and is straightforward and tactful in language (e.g.: active listening, good communication, telephone etiquette). . Demonstrates flexibility in response to unexpected changes in work volume, emergency staffing, and scheduling. Maintains department records and established department filing system to ensure the expeditious retrieval of information. Files all correspondence, reports, and forms in an appropriate location and in an orderly fashion within specified time frame of department.
  • Will perform components of discharge planning, identified and tasked by licensed staff who will provide oversight.
  • Accurately accounts and coordinates office supplies used in each department.
  • Performs all other tasks/responsibilities as necessary.
