Procedure Scheduler, MA (Non-Certified)

Galen Medical Group offers several medical specialties throughout the Chattanooga region. We provide quality care and patient-friendly services to adults and children of all ages. Cardiac background is a plus but not necessary

Summary/Objective:

Summary/Objective:

ย Schedules patients for procedures and advises patients of surgical and financial preoperative requirements. Coordinates and schedules appointments for procedures at the clinic, ambulatory surgery center or hospital.ย 

Essential Functions: Reasonable accommodation may be made to enable individuals with disabilities to perform these essential functions.

  • Coordinate and schedule procedures and follow-up appointments as designated by physicians according to established policies and procedures.
  • Interact with patientsโ€™, physicians and other staff within the clinic and at outside facilities providing accurate, timely and responsive information.
  • Coordinate processes and timing as required to meet physician and facility requirements.
  • Schedule diagnostic therapy and other treatments as requested.
  • Make sure authorization for procedure from patientโ€™s insurance company has been requested.
  • Provide patient with generic preoperative information sheets and advise patients of preoperative procedure and financial requirements.
  • Submit patient clinical and financial information to facility assuring appropriate medical records release, if needed.

Other Duties/Responsibilities:

  • Answer and screen telephone calls in a courteous manner, and record messages for physician and other personnel.
  • Obtain accurate information from patients and ensure registration is complete.
  • Coordinate the collection of patient pre-payments by sending Pre-Payment department a task when patient is scheduled.
  • Provide information to patients regarding unpaid balances prior to procedure.
  • File records in appropriate sections of patient electronic or paper charts and keep patient charts in proper order.
  • Review financial and clinical paperwork to assure completion before the scheduled procedure date.
  • Maintain files and patient records in a confidential manner.
  • Perform other related duties as directed or assigned.

Knowledge/Skills/Abilities:

  • Knowledge of medical terminology and insurance practices.
  • Knowledge of CPT and ICD-10 coding.
  • Knowledge of grammar, spelling, and punctuation to type, review and edit reports, documentation and correspondence.
  • Must be computer literate.

  • Maintain confidentiality of all patient, medical, financial, and legal information.

Qualifications:

Education:

Required:

  • High School graduate or equivalent.

Experience:

  • Minimum of two yearsโ€™ experience as an administrative assistant
  • Experience with insurance preauthorization and patient collections.

Skills/Certifications:

  • Excellent customer service skills.
  • Exceptional skills of independence, organization, verbal and written communication, problem-solving, professional interaction, and human relation skills, as well as analytical skills and problem-solving ability.
  • Must be PC literate with strong computer navigational skills, as well as extensive knowledge of Windows and Microsoft Office.

Knowledge of basic medical terminology.
