Job description

Job Title: Safety & Compliance Administrator
Department:  Safety & Compliance
Direct Supervisor’s Title:  Director of Safety & Compliance
FLSA Status: Hourly, Non-Exempt
Compensation: $25-30 / hr
PURPOSE OF THIS POSITION
The Safety and Compliance Administrator is a highly organized, analytical member of the Safety & Compliance team, playing a key role in maintaining AAC’s regulatory compliance and safety training programs. Reporting to the Director of Safety and Compliance, this full-time position oversees company-wide safety training administration, updates policies to reflect regulatory changes (OSHA, EPA, NYS DOL), and manages all regulatory filings, licensing, and certification records. The role also maintains the Safety & Compliance software, prepares compliance reports, and serves as the primary administrative support for field personnel to ensure consistent adherence to safety & compliance standards.
DUTIES
Compliance, Administration & Reporting
  • Prepare, submit, track, and maintain all regulatory and site safety documentation, including NYS DOL notifications, EPA notifications, company licensing, certifications, and waste management records.
  • Verify completeness and accuracy of job files and required site safety documentation; assist with compliance closeout.
  • Maintain OSHA records, site postings, and update company forms.
  • Maintain EHS Management Information Systems, ensuring data integrity, accessibility, and accurate reporting.
  • Compile compliance reports, metrics, analyses, and supporting documentation for internal and external stakeholders.

Policy & Training Administration
  • Administer safety training programs, including scheduling, registration, recordkeeping, and curriculum tracking.
  • Analyze training data and feedback to support mandatory training schedules and program development.
  • Coordinate with subject matter experts to develop training content and update safety and compliance policies in response to regulatory changes.

Communication & Field Support
  • Provide administrative safety and compliance support to field personnel.
  • Read and prepare feedback to the field.
  • Draft, format, and distribute safety communications, meeting minutes, and committee documentation.
  • Maintain incident reports, inspection records, training certifications, and OSHA logs.

SUPERVISION
This position does not supervise or otherwise have any regular responsibility for the work of others.
QUALIFICATIONS
Education & Experience Requirements
  • Previous experience in a highly organized administrative or compliance support role.
  • Experience supporting construction programs such as abatement and/or demolition.
Skills and Competencies Requirements
  • Exceptional organizational, administrative, and written communication skills.
  • Strong ability to follow direction, execute with precision, and maintain strict regulatory compliance.
  • Proficiency in Microsoft Office, including Excel and reporting; experience with databases or management information systems (e.g., LMS/ERP).
  • Clear and effective communicator with both management and field staff
Desired/Preferred Qualifications
  • Associate or bachelor’s degree in business administration, EHS, or a related field.
  • OSHA 10/30 or comparable construction safety training.
  • Working knowledge of NYS DOL Part 56 (Asbestos) compliance and notifications.
  • Bilingual in English and Spanish (written and verbal).
  • Experience with training software and/or safety management databases.
